Job description

Position Summary

The Competitive Team Administrative Coordinator serves as the primary administrative support for the Head Coach and Competitive Team programs. This position assists with the day-to-day operational and organizational responsibilities of the Competitive Team, allowing the coaching staff to focus on athlete development, coaching, and program growth. The ideal candidate is highly organized, detail-oriented, communicates professionally with families, and enjoys working in a fast-paced youth sports environment.

Primary ResponsibilitiesAthlete & Family Communication
  • Respond to general parent emails and phone calls regarding Competitive Team information.
  • Answer routine questions regarding schedules, apparel, competitions, and program policies.
  • Follow up with families regarding incomplete paperwork, registrations, and required documentation.
  • Assist in distributing monthly team reminders.
  • Coordinate communication between families and the Head Coach when appropriate.
  • Registration & Administrative Tracking
  • Monitor USA Gymnastics membership registrations and follow up with families regarding incomplete registrations.
  • Track required athlete forms and waivers.
  • Maintain athlete records and administrative documentation.
  • Assist with seasonal registration processes.
  • Scheduling & Organization
  • Schedule athlete evaluations and family meetings.
  • Coordinate meeting calendars for the Head Coach.
  • Organize appointment schedules and followup communications.
  • Assist with competition signups and administrative deadlines.
  • Apparel & Inventory Management
  • Collect athlete apparel sizes and inventory information.
  • Track competition apparel orders.
  • Assist with ordering and distributing competition apparel.
  • Maintain apparel inventory records.
  • Jackrabbit & Athlete Records
  • Update athlete levels and program placements in Jackrabbit.
  • Maintain accurate athlete information within the management system.
  • Assist with roster updates and Competitive Team records.
  • General Program Support
  • Prepare spreadsheets, forms, and organizational documents.
  • Assist with competition preparation and administrative logistics.
  • Help organize team events, parent meetings, and seasonal projects.
  • Perform additional administrative duties that support the Competitive Team program.
  • Preferred Qualifications
  • Strong organizational and time management skills.
  • Excellent written and verbal communication.
  • Comfortable using Google Workspace (Docs, Sheets, Forms, Calendar).
  • Experience with Jackrabbit or willingness to learn.
  • Ability to handle confidential information professionally.
  • Strong attention to detail.
  • Ability to work independently while communicating effectively with the Head Coach and Executive Team.
  • Previous experience in gymnastics, youth sports, education, or administrative support is preferred but not required.
  • Time Commitment
  • Parttime (approximately 20 hours per week, depending on the season).
  • Flexible schedule with occasional evening communication and remote weekend
  • availability during competitions, evaluations, or team events.

    Reporting Structure

    This position reports directly to the Head Coach while working collaboratively with the Executive Team and front office staff to ensure the Competitive Team operates efficiently and provides exceptional service to Salem Gymnastics families.

    Purpose of the Position

    The goal of this role is to improve communication, increase organizational efficiency, reduce administrative burden on the coaching staff, and provide a higher level of support to Competitive Team families. By managing many of the day-to-day administrative responsibilities, the Competitive Team Administrative Coordinator allows coaches to spend more time where it matters most—coaching athletes and continuing to grow the Competitive Team program.
