We are seeking a full-time HR Administrator to join our talented team in our Rochester, NY headquarters!
About The Role:
The HR Administrator plays a critical role in supporting the daily operations of the Human Resources department while actively cultivating a positive, welcoming, and seamless workplace culture. This position manages foundational HR processes-including new employee onboarding, payroll processing, benefits administration, and HRIS data integrity-while supporting forward-thinking initiatives that enhance employee engagement and organizational culture. The ideal candidate is exceptionally organized, detail-oriented, data-driven, and passionate about creating an environment where employees can thrive.
Employee Experience
  • Own the end-to-end onboarding experience for new team members; coordinate pre-employment steps, prepare welcome materials, conduct HR orientations, and ensure a smooth, welcoming transition into the company.
  • Act as a central point of contact for day-to-day employee office inquiries; assist with the planning and execution of internal company events, celebrations, and employee recognition initiatives.
  • Consistently seeks, proposes, and implements ways to improve our employee experience in partnership with the HR team.

HRIS & Data Integrity
  • Maintain absolute data integrity within the company's HRIS platform, ensuring all employee profiles and organizational updates are entered accurately and timely.
  • Manage physical and digital employee personnel files, ensuring that all onboarding documentation, role transition records, and exit paperwork are meticulously organized and securely filed.
  • Conduct regular audits of HR data fields; generate standard routine reports (e.g., headcount, turnover, system utilization) to proactively ensure accuracy and compliance with federal and state laws.
  • Own the HR systems used on a day-to-day basis to ensure all information seamlessly flows to where it needs to be.

Compliance & Safety
  • Support the administration of the company's health and safety programs; act as a champion for safe workplace practices and ensure team compliance with internal protocols.
  • Own the maintenance and updates of the safety SharePoint site, ensuring all emergency action procedures, log sheets, manuals, and regulatory contacts are up-to-date and easily accessible to staff.
  • Assist with documenting workplace hazards, incidents, or near-misses; help track compliance with local, state, and federal workplace safety regulations (such as OSHA standards).
  • Proactively monitor changing federal, state, and local employment, benefits, and payroll laws to mitigate regulatory risk. Ensure audit readiness and foundational compliance by coordinating annual training and maintaining up-to-date labor law postings.

Payroll & Benefits Administration Support
  • Own the payroll process to ensure all payrolls are processed timely and accurately.
  • Update payroll records for new hires, terminations, promotions, and changes in automatic employee deductions or benefit allocations to ensure accuracy and minimize disruption.
  • Act as the first line of support for employee questions regarding payroll discrepancies, tax withholdings, or basic benefits navigation.

Minimum Qualifications:
  • Bachelor's degree in human resources, business administration, or another relevant program
  • 1-3 years' experience in Human Resources or Business Administration
  • Previous experience with HRIS platforms preferred

Knowledge, Skills & Abilities:
  • Basic knowledge of federal, state, and local employment laws and regulations
  • Excellent oral and written communication with a strong emphasis on follow-up
  • Excellent attention to detail, organization skills, conscientiousness, and reliability
  • Ability to think critically, problem solve, and innovate independently
  • Excellent computer skills - Microsoft Office Suite
  • Ability to be trusted with confidential or sensitive information

Compensation: In the spirit of pay transparency, the starting pay for this role is $50k - $65k/year. The range listed here represents a good-faith anticipated range for this position. The actual compensation offered will carefully consider a wide range of factors, including your skills, qualifications, and experience. Please keep in mind that this range is the base pay only and does not consider other components that make up the total rewards package for the position.
