About the Role:

The Administrative Assistant plays an important role in supporting the daily operations of our engineering office. This individual will work closely with management, engineers, clients, property managers, contractors, and government agencies. The ideal candidate is detail-oriented, able to manage multiple priorities, and comfortable working in a fast-paced professional environment. This position requires strong communication skills, professionalism, initiative, and consistent follow-through.
Schedule

Full-time, Monday through Friday, from 8:00 a.m. to 4:30 p.m.
Responsibilities:
  • Manage front desk operations including answering phones, greeting visitors, and handling correspondence
  • Coordinate scheduling, meetings, and calendar management for engineering staff and leadership
  • Prepare, format, and proofread engineering documents, reports, and proposals
  • Maintain organized filing systems for project records, permits, and client files
  • Support project coordination by tracking deadlines and communicating updates across teams
  • Process invoices, purchase orders, and assist with basic bookkeeping tasks
  • Liaise with clients, contractors, and vendors in a professional and timely manner
Requirements:
  • 2+ years of administrative or office support experience, preferably in engineering, construction, or a technical field
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
