Job description

We are seeking an analytical, process-driven professional to optimize our legal operations. In this multifaceted role, you will bridge the gap between legal support, financial management, and risk mitigation. You will take ownership of the legal department budget and invoice workflows, partner with the Head of Rights Management to maintain our proprietary rights database, and serve as the primary liaison for our corporate insurance programs.
The ideal candidate thrives on turning unstructured data into clean, scalable processes and possesses a strong background in data management, corporate accounting, and contract workflows.
Key Responsibilities
1. Payments & Financial Tracking
  • Manage the end-to-end legal invoicing workflow. Review, track, and process contract payments and legal invoices, ensuring accurate alignment with executed agreements and internal financial policies.
  • Serve as the primary point of contact for the corporate Accounting and FP&A departments to reconcile ledger entries.
  • Maintain up-to-date logs within the legal operations database, monitoring milestones, payment schedules, and budget variances to provide regular reports to finance leadership.

2. Rights Management & IP Operations
  • Collaborate with internal legal team members and rights management team to administer, maintain, and operate a centralized corporate rights management database.
  • Analyze existing contracts to perform comprehensive rights assessments, identify potential clearance issues, and determine the scope of available rights across different territories and media platforms.
  • Accurately enter and maintain critical metadata, contract terms, and rights restrictions within the rights management database to ensure data integrity for internal stakeholders.
  • Draft and review rights agreements and amendments, ensuring legal and business terms align with company standards. Process payment requests and invoices for rights acquisition agreements; communicate with creators and partners to confirm payment information.

3. Corporate Insurance Management
  • Manage the administration of the company's global corporate insurance programs (e.g., D&O, General Liability, Cyber, and E&O).
  • Coordinate the annual insurance renewal process by collecting internal exposure underwriting data, filling out applications, and compiling historical claim summaries.
  • Act as the primary administrative touchpoint for global insurance brokers, underwriters, and external risk adjusters.
  • Review vendor and partner contracts to verify alignment with corporate insurance requirements and facilitate the issuance of Certificates of Insurance (COIs).
  • Track, process, and maintain documentation for all active corporate insurance claims.

4. Legal Operations
  • Assist in the management and maintenance of the Legal's contract management system and repository.
  • Support the Legal Operations Manager with user tracking and permissions, signature coordination, and general user support.

Qualifications & Skills
  • 4+ years of professional experience in a law firm, corporate legal department, insurance brokerage, or equivalent corporate operations environment
  • Bachelor's degree in Business Administration, Finance, Legal Studies, or a related discipline
  • Advanced proficiency in data management and analytics tools (e.g., Airtable, SharePoint, specialized CLM/IP management software) and MS Office, with an emphasis on advanced Excel capabilities. Interest in building workflows and systems using AI tools.
  • Comfortable with basic corporate accounting principles, including invoice reconciliation, budget tracking, and navigating ERP/financial software; proven ability to handle sensitive financial data with total confidentiality
  • Strong foundational understanding of commercial insurance structures, policy terms, and corporate risk management workflows
  • Strong written and verbal communication skills needed to align internal stakeholders and external executive partners
