Job description

Citadel Security USA is seeking an organized and solutions-oriented Fleet Operations Coordinator to oversee the daily administration of the company's fleet program supporting critical infrastructure operations. This position is responsible for coordinating vehicle availability, scheduling maintenance, maintaining compliance records, supporting operational logistics, and ensuring company vehicles remain safe, reliable, and ready for deployment.
This role works closely with operations leadership, field personnel, vendors, and maintenance providers to support uninterrupted service across multiple locations. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining accurate records and delivering exceptional internal customer service.

Primary Responsibilities
Fleet Operations & Vehicle Coordination
  • Coordinate daily fleet scheduling to support operational staffing and transportation requirements.
  • Assign vehicles based on business needs while maximizing fleet availability.
  • Maintain accurate vehicle assignment records and fleet utilization reports.
  • Monitor vehicle availability and assist with transportation planning for field personnel.
  • Support emergency fleet requests and operational changes as needed.

Vehicle Maintenance & Asset Management
  • Schedule preventive maintenance, inspections, repairs, and warranty services.
  • Coordinate with approved vendors and repair facilities to minimize vehicle downtime.
  • Track maintenance history, service intervals, registrations, insurance documentation, and licensing requirements.
  • Assist with vehicle acquisition, replacement planning, and asset disposal activities.
  • Verify vehicles meet company safety standards before returning them to service.

Compliance & Regulatory Administration
  • Maintain fleet records to support compliance with applicable federal, state, and local regulations.
  • Assist with monitoring compliance related to DOT, OSHA, vehicle inspections, registrations, and fleet documentation.
  • Maintain organized electronic and paper records for fleet operations.
  • Support internal audits and regulatory reviews as required.

Operational Reporting & Cost Management
  • Monitor fuel usage, maintenance expenses, and operating costs.
  • Prepare routine fleet performance reports and operational summaries.
  • Identify opportunities to improve efficiency while controlling operating expenses.
  • Assist with budget tracking and vendor invoice verification.
  • Maintain accurate documentation supporting operational reporting.

Technology & Fleet Systems
  • Utilize fleet management software to maintain vehicle records and scheduling information.
  • Monitor GPS tracking and telematics systems to support operational efficiency.
  • Review vehicle utilization trends and assist with route optimization initiatives.
  • Maintain accurate electronic fleet documentation and reporting.

Communication & Administrative Support
  • Serve as a primary point of contact for vehicle-related questions from field personnel and supervisors.
  • Coordinate with vendors, maintenance providers, and operational leadership regarding fleet needs.
  • Maintain confidentiality of personnel information, operational records, and client-related data.
  • Represent Citadel Security USA professionally when interacting with employees, vendors, regulatory agencies, and business partners.

Minimum Qualifications
  • Valid driver's license with a satisfactory driving record.
  • Reliable personal vehicle for business-related travel.
  • Minimum of three (3) years of experience in fleet management, logistics coordination, transportation operations, or a related field.
  • Ability to successfully pass a background check and Motor Vehicle Record (MVR) review.
  • Strong organizational skills with the ability to manage multiple assignments simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency using Microsoft Outlook, Word, Excel, and other business software.
  • Ability to work independently while supporting multiple departments.
  • Strong analytical, problem-solving, and decision-making abilities.

Preferred Qualifications
  • Bachelor's degree in Logistics, Business Administration, Transportation Management, Supply Chain Management, or a related field preferred. Equivalent professional experience may be considered.
  • Experience managing commercial vehicle fleets in a multi-site environment.
  • Working knowledge of DOT, OSHA, and transportation-related regulatory requirements.
  • Experience using fleet management software, GPS tracking systems, and telematics platforms.
  • Knowledge of vehicle maintenance scheduling and fleet lifecycle management.
  • Professional fleet certifications such as CAFM, CPFP, or comparable credentials are considered an asset.
  • Experience supporting critical infrastructure, security, construction, or industrial operations is preferred.
