School Secretary

Job Description:

The school secretary for Montessori Torah Academy will be the first point of contact for visitors, parents and students. We are searching for a dedicated School Secretary to assist with administrative tasks at our educational facility. Our ideal candidate possesses strong interpersonal skills, organizational ability, and a solid understanding of school operations. The school secretary should display a positive attitude, excellent communication skills, and respect for student confidentiality.

Job Responsibilities:

· Greeting and directing visitors, answering phone calls, answering emails, and responding to inquiries about the school.

· Maintaining student and staff records, updating attendance logs.

· Assisting in the preparation and distribution of school correspondence such as newsletters, notices and reports.

· Coordinating and scheduling appointments, interviews and meetings.

· Managing and ordering office supplies

· Maintaining proper inventory protocols for supplies in the office.

· Handling incoming and outgoing deliveries

· Assisting with the record keeping of check transactions

· Working cooperatively between teachers, parents and school administrators.

· Assist parents, students, staff, and visitors in a courteous and friendly manner.

· Ensure the front office is neat, organized and welcoming to all visitors.

· Prepare agendas and attend meetings to take notes.

Qualifications

· Proven experience as a secretary or administrative assistant in an educational setting. (required)

· Excellent organizational and multitasking abilities.

· Strong written and verbal communication skills.

· Proficiency in MS Office and database software (Brightwheel)

· Punctual

· Ability to work efficiently and meet deadlines.

· Familiarity with standard office equipment like copiers, fax machines, scanners, and printers.

· Strong multitasking abilities.

Education:

· High School Diploma

· Additional qualifications as an Administrator or Executive Secretary are a plus.
