General Job Description
Under the direct supervision of the building principal and assistant principal, the secretary provides comprehensive clerical, secretarial, and operational support to ensure the smooth, efficient, and safe operation of the school office. This position serves as a primary point of contact for students, staff, families, and visitors and requires the ability to manage multiple responsibilities with professionalism, discretion, and sound judgment. The role also includes student supervision duties as needed to support building operations.
Qualifications
  1. High school diploma or equivalent required.
  2. Demonstrated proficiency in word processing, databases, spreadsheets, and related software.
  3. Prior experience in an office or school setting preferred.
  4. Demonstrated excellent verbal and written communication and organizational skills.
  5. Demonstrated ability to maintain confidentiality and exercise discretion.
  6. Strong interpersonal skills and ability to work collaboratively in a team environment.
  7. Any equivalent combination of education and experience will be considered.

Essential Functions and Responsibilities
  1. Meets and greets all visitors in a professional, courteous, and helpful manner and maintains required visitor logs.
  2. Receives, screens, and routes incoming telephone calls and messages efficiently and appropriately.
  3. Sorts, distributes, files, and maintains correspondence, records, invoices, and other documents in accordance with established procedures.
  4. Copies, types, laminates, faxes, and distributes materials for administrators, teachers, and staff.
  5. Maintains, updates, and organizes filing systems, including classifying, cross-indexing, and labeling materials using standardized systems.
  6. Orders, inventories, and maintains office and building supplies as needed.
  7. Assists in maintaining and verifying student and staff attendance records and reports, including those for administrators, and contacts parents/guardians regarding student absences.
  8. Assists in maintaining student records, including registrations, transfers, attendance, and current student rosters.
  9. Assists with health services and provides basic first aid to students as needed, in accordance with district guidelines.
  10. Assists in collecting fees and maintaining accurate activity accounts in accordance with district audit procedures.
  11. Assists in collecting, reviewing, and processing employee time sheets.
  12. Assists with maintaining records and supporting the operation of the school lunch program.
  13. Assists with orienting substitute teachers, maintaining substitute records, and securing substitutes during the school day.
  14. Contacts custodial and/or maintenance staff as necessary to support efficient and safe building operations.
  15. Keeps the principal and assistant principal informed of known issues impacting daily school operations.
  16. Prepares, types, and distributes newsletters, parent communications, and other materials as directed.
  17. Interfaces effectively with building staff, district staff, families, and external agencies as appropriate.
  18. Supervises students in non-instructional settings, including but not limited to the playground, lunchroom, buses, and hallways, as assigned to support safe and orderly school operations.
  19. Performs other related duties as assigned by the building principal and assistant principal.
