Job description

Job Title: Receptionist
Department: Administration

Summary
The Receptionist performs routine clerical, secretarial and administrative work.
Essential Functions:
  1. Answer and transfer inbound phone calls.
  2. Tally and Log parts calls daily and distribute spreadsheets weekly
  3. Prepare "Parts Calls" spreadsheets for other branches
  4. Distribute faxes to the appropriate mailboxes/departments.
  5. Sort and distribute incoming mail.
  6. Scanning and archiving inbound invoices into Share drive (payables)
  7. Sort and mail daily parts and rental invoices
  8. Log and distribute sales and service invoices
  9. Keep up to date on postage prices. (First class, priority, express, certified, etc,)
  10. Monitor postage meter balance and fill as needed.
  11. Schedule regular maintenance for copier and postage machine
  12. Take inventory and organize Stock Room weekly.
  13. Order and stock office, breakroom, and printed supplies as needed.
  14. Vendor price comparisons every 6-12 months.
  15. Update and distribute weekly Call Reports and Sales Reports.
  16. Review Salesmen's Expense Reports weekly
  17. Update and distribute employee phone list.
  18. Maintain an up to date directory for Switchboard Alaska.
  19. Upload and distribute pictures for Rental Department.
  20. Log rental fuel
  21. Print & Fold Rental Rates sheets for the rental counter.
  22. Create, scan, sort and file various files and certificates.
  23. Assist Sales, Parts, Rental, Service and Accounting personnel as needed.
  24. Send out fed ex pouches
  25. Update and maintain receptionist policies and procedures as needed.
  26. Other duties as assigned.

  2. One year of clerical experience

Physical Requirements
This is largely a sedentary role, requiring use of typical office equipment such as a computer, laptop and cell phone. Most work is completed in an office environment. This position will require walking, standing, bending and occasionally lifting up to 25lbs.
