Job Summary

Housing Hub is seeking a reliable, organized, and customer-focused Front Desk Office Administrator to be the welcoming first point of contact for our residents, applicants, vendors, and visitors.

As the first person people see when they enter the office, this role is responsible for creating a friendly and professional experience while helping ensure the day-to-day office operations run smoothly. The Front Desk Office Administrator will answer phones, greet visitors, respond to basic questions, and direct residents and other inquiries to the appropriate team member.

This is a hands-on administrative position that requires strong organization, communication, attention to detail, and the ability to manage multiple priorities in a fast-paced property management environment.

Key Responsibilities
  • Greet residents, applicants, vendors, and visitors in a professional and welcoming manner.
  • Answer incoming phone calls, respond to basic questions, and direct inquiries to the appropriate team member.
  • Manage and maintain office keys, including tracking key distribution and returns.
  • Be present and available for scheduled key return days, including weekends and holidays when required.
  • Process, organize, and maintain files and office records.
  • Manage incoming and outgoing mail and distribute mail to the appropriate team members.
  • Assist with parking permits and related resident requests.
  • Manage rentable office/property items and maintain accurate records of rentals, returns, and availability.
  • Place and track office supply and other office-related orders.
  • Track maintenance technicians' time and assist with related administrative records.
  • Assist with various administrative projects and tasks as assigned.
  • Help maintain an organized, clean, and efficient front office and reception area.
  • Provide general administrative support to the Housing Hub team.
  • Assist with coordinating office operations and ensuring tasks are completed in a timely manner.
  • Maintain a professional, helpful, and service-oriented attitude when interacting with residents, coworkers, vendors, and the public.
Qualifications
  • Previous administrative, receptionist, customer service, or office experience preferred; entry-level candidates are encouraged to apply.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to multitask, prioritize responsibilities, and meet deadlines in a fast-paced environment.
  • Comfortable interacting with a wide variety of people in a professional and courteous manner.
  • Ability to work independently while also functioning effectively as part of a team.
  • Basic computer and office technology skills.
  • Previous knowledge or experience in property management is preferred but not required.
  • Dependable and flexible, with the ability to work scheduled weekends and holidays when necessary for key return days or other essential office operations.
