Job description

WV FREE seeks a highly organized, proactive, and collaborative Administrative Coordinator to help keep our small, mission-driven organization running smoothly. This position serves as a central point of coordination for staff and leadership, helping manage schedules, communications, administrative systems, events and day-to-day operations.

We’re looking for someone who loves creating order, keeping things on track, anticipating what needs to happen next and supporting a busy team committed to reproductive health, rights, and justice.

What You’ll Do

  • Provide day-to-day administrative and operational support to staff and leadership.
  • Manage organizational calendars, scheduling, meetings, and shared communications.
  • Track deadlines, projects, and priorities and help ensure strong follow-through across the organization.
  • Maintain organized files, records, databases, and internal systems.
  • Develop and improve systems that make our work more efficient and organized.
  • Support staff onboarding, team activities, and internal communications.
  • Coordinate logistics for programs, trainings, meetings, outreach activities, and community events.
  • Assist with data collection, reporting, and administrative components of grants.
  • Maintain office supplies, equipment, and other resources needed by staff.
  • Handle sensitive organizational, employee, and client information with discretion and confidentiality.

Preferred Qualifications

  • Administrative, operations, office coordination, or nonprofit experience; four years preferred.
  • Exceptional organizational skills and attention to detail.
  • Strong communication, time management and follow-through.
  • Ability to juggle multiple priorities and adapt in a fast-paced nonprofit environment.
  • Proficiency with Microsoft Office and Google Workspace.
  • Strong interpersonal and problem-solving skills.
  • Ability to work independently while being an engaged and collaborative team member.
  • Commitment to reproductive justice, equity, inclusion and WV FREE’s mission.

Physical Requirements

  • Ability to sit, stand, walk and use standard office equipment for extended periods.
  • Ability to occasionally lift up to 20 pounds.
  • Ability to travel locally for meetings, events, or trainings, if required.

Compensation & Benefits

Salary is $45,000–$48,000, depending on experience. WV FREE offers health, dental, and vision benefits; a 401(k) match after 750 hours; generous leave policies; and the opportunity for a sabbatical after five years of employment.
