Job description

Job Overview
This position reports to the Chief Information Office with a dotted line to the Director of Academic and Scholarly Technology and serves as a key contributor to advancing AIT's goals in teaching, learning, and operational effectiveness. The role provides leadership in supporting faculty use of instructional technologies, including the learning management system (LMS), by offering guidance on course design, tool integration, and effective digital pedagogy through both individual consultation and scalable training.

In addition, this position manages the administration and support of core educational technology systems and provides Tier 2 support for complex issues. The role also oversees and coordinates a portfolio of AIT projects, including project planning, communication, milestone tracking, risk management, and reporting. Working collaboratively with AIT staff, campus partners, and vendors, this position ensures projects are delivered successfully and contributes to the continuous improvement of departmental processes, communication, and service delivery.ย 

This position is a full-time, salaried position and pays $65,500- $77,200 annually.ย 

AIT Instructional Systems Support

  • Trainingย faculty just-in-time using digital means and well as one-on-one sessions.ย ย 
  • Serve as the system admin while supporting helpย requestsย that require troubleshooting such as those associated withย Canvas Academic, Canvas WheatonX, Qualtrics XM Core Survey Platform, Qualtrics Q-Classroom Course Evaluation took, and Panopto streaming video.ย  This will require supporting the back end of large enterprise systems that are used in teaching and learning.
  • Participation in regular meetings, compilation of reportsย containingย measurable parameters, and the delivery of presentations asย requested.ย 
  • Understand and be able to explain the Quality Matters rubric and standards. Seek certification through Quality Matters.ย ย 
  • Provide tier 2 support for the educational technologies listed in Wheaton College's faculty toolkit.ย ย 
  • Work with LMS team and vendor to mold the product into the best tool for faculty.ย Write and edit support articles for the College's knowledge base as they pertain to educational technologies.ย ย 
  • Supervise, guide & assistย studentย staff

AIT Administrative Strategic Initiatives Project Managementย Support

Several projects will be undertaken concurrently with the AIT department. For each project, this role will collaboratively define, and manage, an initiative start date, key milestones, change management plan, and an expected completion date. Specific duties include but are not limited to:

  • Collaboratively develop and track detailed plans for each project, including project schedules, resource assignments, and budget management.ย 
  • Work with AIT staff to ensure effective communication, testing plan, and funding is included in all project plans.ย 
  • Provide AIT Administration with regular updates on project status.
  • Facilitate communication and coordination among AIT staff, vendors, and Wheaton College departments.
  • Identify, assess, and manage risks throughout each project's lifecycle.
  • Track and meet projectย milestones, manage changes, and ensure quality deliverables.
  • Track expenses, identify gaps, and ensure project is completed within approved budget
  • Address and resolve issues or obstacles that arise during the projects.
  • Develop or supervise the development of varied forms of information presentation, including website, email, digital signage, and print media related to the project.

Professional Qualifications

Required

  • Bachelor's degree in a relevant field (e.g., Information Technology, Information Systems, Computer Science, Engineering, Instructional Technology, Educational Media, Communications), or an equivalent combination of education and experience.ย 
  • Three to five years of experience in instructional design, educational technologies, or a related field.ย 
  • Demonstrated experience supporting and administering instructional technologies (e.g., LMS platforms, survey tools, video platforms) and applying technology to enhance teaching and learning.ย 
  • Proven project management experience, including planning, coordination, risk management, and successful delivery of complex projects.ย 
  • Strong technical aptitude, including a general understanding of networking, desktop technologies, web-based applications, and enterprise systems.ย 
  • Experience with budgeting, financial tracking, and use of tools such as advanced Excel to manage project or departmental resources.ย 
  • Excellent written and verbal communication skills, with the ability to engage effectively with faculty, staff, and stakeholders across varying levels of technical expertise.ย 
  • Demonstrated ability to manage multiple priorities, meet deadlines, and work effectively in fast-paced, changing environments with minimal supervision.ย 
  • Experience developing documentation, policies, procedures, and user support materials.ย 
  • Familiarity with IT standards and best practices (e.g., ITIL).ย 

Preferred

  • Advanced degree in a relevant field.ย 
  • Experience in higher education.ย 
  • Prior experience teaching online or supporting online/hybrid instruction.ย 
  • Familiarity with instructional design frameworks such as Quality Matters.ย 
  • Experience with Agile or other structured project management methodologies.
