Job description

Tofflon USA LLC is seeking a motivated Project Manager to leads the planning and execution of projects, ensuring alignment with scope, schedule, and budget. Collaborates with cross- functional teams and stakeholders to deliver successful project outcomes.

Key Responsibilities

1. Project Planning & Execution

  • Lead and manage project lifecycle from initiation to completion

  • Develop project plans, timelines, and resource allocation

  • Ensure projects are delivered on time, within scope, and within budget

2. Client Coordination

  • Serve as the primary point of contact for customers

  • Coordinate with internal teams (engineering, production, logistics)

  • Communicate project status, risks, and updates to CEO

3. Budget & Cost Control

  • Monitor project costs and ensure alignment with budget

  • Track expenses, labor hours, and procurement costs

  • Support invoicing and revenue recognition processes

4. Cross-border Coordination (Important for Tofflon)

  • Coordinate with headquarters and overseas teams (e.g., China offices)

  • Manage time zone differences and communication efficiency

  • Ensure alignment on technical specifications and delivery schedules

5. Procurement & Logistics Oversight

  • Coordinate equipment production and shipment schedules

  • Work with vendors, freight forwarders, and installation teams

  • Ensure timely delivery and installation of equipment

6. Risk Management

  • Identify potential project risks and develop mitigation plans

  • Resolve issues related to delays, technical challenges, or customer concerns

7. Documentation & Compliance

  • Maintain accurate project documentation (contracts, reports, change orders)

  • Ensure compliance with company policies and industry regulations

  • Support audit and internal reporting requirements

8. Quality Assurance

  • Ensure project deliverables meet quality standards and client requirements

  • Coordinate testing, validation, and acceptance processes

9. Team Coordination

  • Assign tasks and monitor team performance

  • Facilitate collaboration between engineering, service, and sales teams

10. After-Sales & Service Support

  • Support installation, commissioning, and post-delivery services

  • Ensure customer satisfaction and handle feedback or issues

11 Marketing & Business Development Support

  • Participate in and organize industry exhibitions, conferences, and technical seminars

  • Promote Tofflon products and support lead generate efforts

Qualifications

  • Bachelor’s degree, a minimum of 3 years of the same industry experience required paired with a minimum of 2 years related experience in same industry as area in freeze- drying/lyophilization, Freeze Dryer or Aseptic Filling Line, Lyo injectables, chemical API, Bioengineering and pharma packaging, etc.

  • Good organizational skills along with the ability to make impactful sales presentations with positive results are required. Procedure excellence, product expertise and new product introduction experience. Familiarity with CRM platforms.

  • Strong Customer Understanding, with the ability to use customer data and knowledge to drive the buying process.

  • Demonstrated leadership in business planning and project management along with documented sales achievement(s) are required.

  • Strong written and verbal English communication skills.

  • Proficiency in Microsoft Office and AutoCAD.

  • Strong interpersonal, communication, and customer relationship skills.

  • This is a hybrid role, primarily remote from a home office, with occasional work

    expected at our Springfield, NJ office as needed.

  • Approximately 40–60% travel is required, including domestic travel within North

    America and international travel.
