Job description

The Customer Data Coordinator must be skilled in performing all of the duties of a Customer Service Representative and will provide exemplary customer service to customers. This role provides back-up to the Customer Service Representative role to cover the office during busy times or PTO on an as needed basis. This role is responsible for ensuring customer data is entered accurately and in a timely manner, along with ensuring customer contact data is current. Duties include uploading, proving and posting handheld batches on a daily basis. Performing new customer account set-up and file maintenance. This role includes monthly reporting, as well as office administration responsibilities and assisting with special projects as assigned. This role requires daily onsite presence in a local office.
Duties and Responsibilities:
  • Customer Service - The primary responsibility for all members of the customer service team is to provide exceptional customer service to all customers, both residential and commercial through both phone and personal contact. In some offices where there may not be an assigned CSR, the CDC provides customer service to walk-in customers, in order to do this, the CDC must be knowledgeable of product and service offerings and able to explain such offerings to customers. In addition to describing product offerings, this role will actively upsell or cross-sell when appropriate This includes order taking, transaction processing, and resolving or escalating customer inquiries and/or complaints as needed. May need to determine if service requests are within the scope of work performed.
  • Data Entry and Record-Keeping- CDCs are responsible to upload, prove and post handheld batches prior to 10:00am on a daily basis. Following the completion of that task, the CDCs are responsible to enter and prove sales/receipt batches, as well as process payments and maintain customer accounts. Accurate and timely timecard entry, including processing and confirmation of hours worked for local team members upon request.
  • Reporting and Auditing - Run and complete paperwork on a daily basis, coordinate month-end reporting for assigned locations and assist with year-end reporting on an as-needed basis.
  • Residential Collections - Coordinate and perform residential collections and handle billing inquiries while keeping residential A/R within targeted metrics.

Qualifications: Knowledge, Skills and Abilities
  • Ability to provide excellent customer service and build rapport with customers.
  • Exercise solid organizational and communication skills.
  • Good phone skills and computer literacy (MS Office).
  • Ability to work independently and effectively manage time.
  • Must be dependable with a stable work history.
  • Ability to follow verbal and written directions.
  • Ability to maintain stability under pressure and be flexible and willing to modify plans and behavior when necessary.
  • Effectively collaborate with leadership and employees to establish goals and standards.
  • Demonstrate a strong commitment to customer service and safety.
  • Ability to be a positive representative of the Company both internally and externally.
  • Ability to work with respect and cooperation at all times with fellow employees and customers.

Experience/Education:
  • High school diploma / GED is required.
  • Minimum of 3 years of experience in an office environment preferred.
  • Customer service or inside sales experience preferred.
