Administrative Specialist โ€“ Seasonalย 

In Office โ€“ Indianapolis, INย 

Balance Claims is seeking a detail-oriented Administrative Specialist to support our Shared Services team by managing communication, coordinating workflows, andย assistingย with project intake.ย 

This role serves as a central coordination point between clients and internal teams, ensuring that all incoming communication and project submissions are captured, organized, and routed correctly across multiple systems.ย 

You willย be responsible forย maintainingย clear communication,ย identifyingย missing information atย a high level, and helping ensure projects continue moving through the workflow without delays.ย 

This is a seasonal, in-office role with the potential to transition into a full-time position based on performance and company needs.ย 

Whatย Youโ€™llย Be Responsible Forย 

  • Manage communication across internal systems, client systems, and shared inboxes to ensure all updates and requests are captured and trackedย ย 

  • Triage incoming project submissions to confirm required documentation is present atย a high levelย before routing for further processingย ย 

  • Route communication and tasks to theย appropriate internalย teams (Sales, Account Management, Production, or Admin)ย ย 

  • Create and manage tasks to ensure all client requests and updates are properly tracked and completedย ย 

  • Communicate with clients and internal teams to request missing information when neededย ย 

  • Maintain organized and consistent documentation across all filesย ย 

Performance Expectationsย 

  • Ensure all communication is captured, documented, and routed without gapsย ย 

  • Maintain accuracy when handling and organizing project information across multiple systemsย ย 

  • Keep projects moving byย identifyingย missing information early andย initiatingย follow-upย ย 

  • Maintain consistent throughput during both normal and high-volume periodsย ย 

  • Follow defined workflows and coordination standards consistentlyย ย 

Qualificationsย 

  • Strong written and verbal communication skillsย ย 

  • High attention to detail and organizational abilityย ย 

  • Ability to manage multiple workflows and priorities simultaneouslyย ย
