Job description

We are looking for a Bilingual Spanish Administrative Assistant to support family-focused programs for a non-profit organization in Indianapolis, Indiana. This Long-term Contract position plays an important role in helping families access services, strengthening coordination across program activities, and keeping documentation accurate and current. The ideal candidate brings strong communication, organization, and relationship-building skills, along with the ability to manage sensitive information and support day-to-day administrative operations with care and professionalism.


Responsibilities:

• Provide administrative support for family services programs, including handling office tasks, preparing documents, and maintaining organized records.

• Communicate with families by phone, in writing, and in person to share information, respond to questions, and support service coordination.

• Assist with participant intake activities such as recruitment support, eligibility verification, enrollment processing, and attendance tracking.

• Maintain timely and accurate data entry across program files, reports, and related documentation to support compliance and service delivery.

• Coordinate with internal staff and community partners to help connect families with appropriate resources and follow-up services.

• Monitor case-related information and help ensure required reports, updates, and documentation are completed on schedule.

• Support a collaborative team environment by sharing information, helping resolve administrative issues, and contributing to smooth program operations.

• Bachelor’s degree in Social Work, Human Services, Sociology, Psychology, or a related field.

• At least two years of case management experience in a human services, community-based, or similar setting.

• Strong verbal and written communication skills; bilingual ability is preferred.

• Experience with administrative assistance, office support, inbound call handling, and data entry.

• Ability to manage multiple priorities while maintaining detailed, accurate, and confidential records.

• Must speak Spanish fluently!

• Strong interpersonal and problem-solving skills with the ability to build trust and work effectively with families, colleagues, and partners.
