Job Summary

The Operations Administrator provides administrative and operational support to the Operations department by coordinating meetings, managing calendars, preparing reports and presentations, maintaining records, supporting project management activities, and assisting with data analysis. The role requires strong organizational, communication, and administrative skills in a fast-paced office environment.

Key Responsibilities:

  • Coordinate internal and external meetings, conference calls, and prepare meeting minutes.
  • Manage executive calendars, travel arrangements, and scheduling.
  • Organize and maintain corporate files, records, and documentation.
  • Create professional PowerPoint presentations and business reports.
  • Prepare Excel spreadsheets, charts, and data analysis reports.
  • Process invoices, expense reports, and follow up on outstanding items.
  • Conduct online research and analyze business data.
  • Support project management and administrative activities.
  • Answer incoming calls and provide receptionist support when needed.
  • Assist with various operational and administrative tasks as assigned.

Qualifications:

  • Minimum 2 years of executive or administrative support experience.
  • High School Diploma required.
  • Bachelor's Degree preferred.
  • Bilingual (Spanish) preferred.
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.
  • Experience creating reports, presentations, and spreadsheets.
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to work in a fast-paced environment.
