Job description

POSITION SUMMARY

 The Marketing Partnerships Operations Coordinator provides operational support for the Marketing Partnerships department, with a focus on account administration, CRM management, cross-departmental coordination, and member engagement.

Working closely with the Senior Director of Marketing Partnerships, Development Manager, Finance, and IT teams, the Operations Coordinator provides the operational and administrative support that enables revenue growth, strong member relationships, and departmental success.

The ideal candidate is a resourceful, customer service-oriented professional who thrives in a dynamic environment and demonstrates strong follow-through to keep projects, processes, and stakeholders moving forward. They are highly organized, detail-oriented, and proactive in identifying opportunities for improvement, managing competing priorities, and supporting departmental and revenue-generating objectives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

 Departmental Administration:

  • Provide administrative support to the Senior Director of Marketing Partnerships and Development Manager.
  • Support the Marketing Partnerships team across membership, sponsorship, development, and cross-functional initiatives.
  • Coordinate meetings, calendars, reports, presentations, departmental communications, and project follow-up.
  • Serve as a key coordinator on cross-functional projects involving multiple departments and external stakeholders.
  • Maintain departmental calendar, records, documentation, and operating procedures to support efficiency and continuity.

Membership Operations & Engagement:

  • Coordinate membership account administration, including new member applications, renewals, upgrades, account updates, and CRM record maintenance.
  • Support private source revenue and member retention goals through renewal tracking, account stewardship, and member outreach.
  • Coordinate member benefit fulfillment and ensure members receive the services, resources, and engagement opportunities associated with their membership level.
  • Maintain data integrity across CRM and related systems; generate membership, revenue, renewal, and engagement reports.
  • Coordinate billing, collections, and account reconciliation activities in partnership with the Finance team and support membership systems administration with IT.
  • Support member onboarding, educational programs, networking events, and benefit fulfillment to enhance member value and retention.
  • Track member activity, including in-kind requests from SDTA, participation data, and ensure accurate records and aligned communication across departments.
  • Monitor membership trends and engagement metrics and provide insights to support revenue growth and retention strategies.
  • Identify and implement process improvements that enhance operational efficiency, data quality, reporting, and the member experience.

Perform other duties and projects as assigned.

REQUIREMENTS 

  • Bachelor’s degree or equivalent experience preferred.
  • 3+ years of experience in administration, operations, customer service, project coordination, membership, or related fields.
  • Demonstrated experience with membership organizations, associations, hospitality, nonprofit organizations, or event coordination is a plus.
  • Strong organizational skills and attention to detail.
  • Highly proficient in CRM/database systems and Microsoft Office Programs: Word, Excel, PowerPoint and Outlook.
  • Familiarity utilizing AI tools such as Copilot, ChatGPT, is a plus.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Professional, collaborative, and service-oriented approach.
  • Experience and comfort supporting billing and collections a plus.

Work Environment / Physical Requirements:

  • Normal office conditions with extensive computer and phone usage.
  • Able to work efficiently and accurately in an atmosphere of frequent interruption.
  • Light physical effort equal to frequent lifting or moving of lightweight materials.
  • Ability to work evenings, weekends, and holidays as needed. 
  • Must be based in San Diego, CA.

The expected annual base pay range for this position is $60,000 to $70,000. We consider many factors in determining base compensation, including position scope, job related knowledge, education, skills, experience, and work location.
