The Senior Manager, Finance Shared Services oversees and coordinates all activities required to ensure accurate accounts receivable (AR) and Accounts Payable (AP) processes, controls, systems, compliance, accounting, and reporting. This position manages AR and AP staff covering the entire gamut of AR and AP activities. Requires a high degree of proficiency in using multiple ERP systems.
Essential Duties and Responsibilities
• Provide accurate and timely AR and AP weekly cash forecast across four companies.
• Deliver timely and accurate AR & AP Management Business Reviews as developed by the Company.
• Prepare collection progress reports for analysts and monitor accuracy daily.
• Develop and Report meaningful metrics for AR and AP
• Lead weekly AR and Sales department meetings with emphasis on delivering monthly collection targets by enlisting sales/logistics/customer service department support during these meetings.
• Collaborate with appropriate stakeholders to develop a comprehensive Order to Cash (OTC) and Procure to Pay (P2P) set of process and system documentation to ensure the complete lifecycle of activities is done consistently, timely and accurately.
• Ensure there is adequate cross-training and backup support across the accounting organization to ensure basic AR & AP tasks are consistently executed daily.
• As subject matter expert (SME) across four financial IT systems, ensure staff is highly proficient in using these systems to accurately and effectively deliver on monthly and quarterly cash flow targets.
• Proactively work with customers and vendors on aged balances and leverage internal resources as necessary to assist in researching and resolving disputes that delay collections or payments.
• Participate, as needed, in recurring or ad-hoc requests as requested by senior management, including implementation of best practices and continuous improvement.
• Participate in the month-end close process as appropriate including reviewing any AR & AP balances which might need to be reserved and ensuring all liabilities have been recorded during the month or have been properly accrued.
• Manage year-end audit process relating to Shared Services.
• Maintain up-to-date awareness of the status of the open AR & AP portfolios. Distribute aging information as necessary to key internal stakeholders (Commercial, Operations, etc.) and financial management along with any commentary regarding particularly large or problematic balances.
• Partner and lead with IT and our ERP vendor to ensure that our system performs as expected and any requests for user support get prioritized and resolved in a timely fashion.
• Participate in peer cross-training to be able to provide back-up assistance with the month-end financial close and related tasks.
• Manage AR credit evaluation process and 1099 Process for AP at year-end.
• Manage the research and reconciliation of AR & AP accounts, cash applications, approval, processing, and matching of customer deductions, and rejected vendor invoice investigations.
• Understand and comply with all policies, guidelines, and procedures for expense processing.
• Travel as needed for training and quarterly team meetings.
People Leader Responsibilities
This position carries out people leader responsibilities in accordance with the Company's policies and applicable laws. Responsibilities include:
• Recommend personnel actions (pay adjustments, promotions, transfers, terminations, etc.).
• Conduct performance reviews and manage individual performance.
• Communicate personnel actions following HR and department head approval.
• Ensure safety and quality standards are enforced and met.
• Partner with human resources to interview/screen potential new hires.
• Organize training and development opportunities for direct reports.
• Update processes and procedures.
• Oversee team and individual employee professional development.
Required Qualifications
Education & Experience:
• Bachelor's degree in accounting, finance, or related field.
• 10 years' Accounts Receivable and Accounts Payable experience in an automated financial environment.
• 5 years' experience managing a team in a high-volume, fast-paced environment.
• Experience leading a team of Accounts Receivable and Accounts Payable professionals.
Knowledge, Skills, & Abilities (KSAs):
• Comprehensive knowledge of multiple AR/AP systems, workflows, and integration with other accounting systems in a financial services environment.
• Excellent knowledge of and background in AR & AP policies and procedures.
• Knowledge of general accounting practices and procedures to include a good understanding of accruals and prepaid accounts.
• Excellent organizational, problem solving, verbal and written communication skills.
• Proficient in Microsoft Office including Word, Excel, and Outlook. Advanced Excel skills.
• Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
• Must have the ability to communicate effectively, verbally and in writing, with internal staff and management. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
• Must be able to demonstrate practical problem solving and trouble shooting skills. Ability to define problems, collect data, establish facts, and draw valid conclusions.
Preferred Qualifications
• Master's degree in accounting, finance, or related field.
• Food and beverage manufacturing industry experience.
• Experience in NetSuite, SAP, JD Edwards, and/or Sage.
• Bilingual in English/French.
