Job Overview:

The core responsibility is data processing activities which requires performing data acquisition and performing report preparation and data file entry. This includes the responsibility for posting payments and adjustments to patient accounts in a timely and accurate manner and ensures financial information is reported to designated parties daily.

Job Description:

A data entry specialist is responsible for balancing and posting Electronic Payments, Mail Receipts Payments, Daily Department Journals payments, Adjustments and Refunds into the company’s computer system database. The data entry specialist must verify and edit the data as needed and must be attentive to detail and be skilled in using computers as well as being able to type information into an electronic format and has the ability to work under minimal supervision. Overtime may be required.

  • Identify and correct errors in data entry
  • Retrieve data from databases and files when requested
  • Manage and organize notes and documents
  • Sending denial and rejections in a timely manner
  • Receive and process payments and update spreadsheets and coversheets accordingly
  • Following up with patients as required
  • Entering data accurately into appropriate fields in various software programs
  • Answering emails and data phone calls to best of ability
  • Strong customer service skills
  • Works closely with other departments and maintains good interdepartmental relationships
  • Ensures all documentation meets current standards
  • Treats everyone with dignity and respect
  • Works as a team player within department to post daily deposits and EFT’s
  • Reviews and processes correspondence from other departments in a timely manner
  • Processes patient refunds and emails insurance refunds to follow up reps
  • Composes insurance and personal mail payment batches in company computer system
  • Has excellent computer skills
  • Maintains up to date knowledge of all federal and state regulations as pertains to their position
  • Follows all HIPAA guidelines and regulations
  • Attends the monthly department meetings
  • Has excellent communication skills
  • Completes annual educational requirements
  • Participates in continuous quality improvement activities
  • Time management skills
  • Attends any assigned training
  • Performs other duties as assigned

Minimum Qualifications:

  • High School diploma requires or equivalent GED. Two years of clerical accounting experience required. Previous experience in a hospital business office preferred.
  • Knowledgeable in Microsoft office; Outlook, Word, PowerPoint, and Excel
  • Completion of regulatory/mandatory certifications and skills
  • Excellent verbal and written communication skills
  • Strong interpersonal skills
  • Ability to work independently and within a group
  • Ability to perform follow up activities in a prompt and accurate manner
  • Strong skills with standard office equipment; fax, computer, phone, etc
  • Ability to accept correction within the spirit is it given

Physical and Mental Requirements:

This position operates in a typical office environment. The area is well lit, temperature controlled and free from hazards.

  • Communicate frequently, in person and over the phone with patients
  • Manual dexterity needed in order to operate a keyboard.
  • Hearing is needed for extensive telephone and in person communication
  • Noise level is low – moderate
  • Able to set and organize own work priorities and adapt to them as changes occur frequently
  • Able to work concurrently on a variety of tasks/projects in an environment that may be stressful with individuals having diverse personalities and work styles
