Work Schedule: 20 hours/week (Monday–Thursday or Tuesday–Friday); Morning schedule required: 8:00 AM–12:00 PM or 9:00 AM–1:00 PM; Overtime eligible (not expected)

Job Description:

This organization is seeking a Part-Time Events & Marketing Coordinator to support strategy and execution of its portfolio of community relations events, conferences, tradeshows, and industry sponsorships. This role will support both planning and hands-on execution, with a strong emphasis on coordination, communication, and attention to detail. Key day-to-day responsibilities will include event logistics, vendor coordination, and mailing promotional packages, along with support for marketing and communications efforts tied to events. This role requires a high level of professionalism and comfort interacting with senior leaders, including C-suite executives and military personnel. Strong responsiveness and accuracy are critical to success.

Key Responsibilities:

·        Support planning and execution of community relations events, conferences, tradeshows, dinners, and sponsorships

·        Assist with end-to-end event coordination including planning, onsite execution, and post-event reporting

·        Coordinate and mail promotional and event packages

·        Track event budgets and support finance coordination including expense tracking and invoice processing

·        Manage vendor logistics including scheduling, materials, and production coordination

·        Support cross-functional teams to ensure successful execution of events aligned with business objectives

·        Assist in preparing press materials, event packaging, and marketing collateral

·        Support executive briefing materials and logistics for event participation

·        Compile post-event feedback, surveys, and reporting summaries

·        Assist with media coordination including scheduling interviews with subject matter experts

·        Support social media content creation and scheduling for event promotion

·        Manage corporate swag inventory, company store updates, and event giveaway materials

·        Assist with corporate social responsibility initiatives and charitable events

·        Other duties and special projects as assigned

Qualifications:

·        3+ years of experience in events management or a related field

·        Experience working with vendors for event production and logistics

·        Strong communication and marketing exposure preferred

·        Proficiency in Microsoft Office Suite (Deltek a plus)

·        Strong attention to detail and ability to work independently

·        Excellent interpersonal skills and high level of professionalism

·        Bachelor’s degree in Marketing, Business, Communications, or related field preferred (or equivalent experience)
