Work Location: In-Person (Georgetown, Delaware)
Job Summary
The Finance Clerk is responsible for providing administrative and operational support to the Finance Department, assisting with payroll processing, private pay invoicing, vendor and billing tracking, accounts receivable/payable functions, and general financial documentation. This role supports the Finance Controller in maintaining accurate financial records, ensuring compliance with company procedures, and assisting with daily finance operations.
The Finance Clerk will assist with onboarding-related financial documentation, support payroll and billing inquiries, and help maintain organized and accurate records within QuickBooks and other financial systems. This position requires strong attention to detail, professionalism, and the ability to handle sensitive financial and employee information with discretion.
In addition to clerical and administrative responsibilities, the Finance Clerk is expected to take a proactive approach to problem-solving, assist with improving departmental workflows, and contribute to the overall efficiency and success of the Finance Department. This role provides an opportunity for continued growth and development within finance and accounting operations.
Essential Duties and Responsibilities
Payroll & Employee Support
• Assist with payroll processing functions, including reviewing timesheets, entering payroll-related information, and verifying payroll data accuracy.
• Respond to employee and caregiver payroll-related inquiries regarding pay, deductions, direct deposits, and payroll corrections.
• Assist with tracking employee reimbursements, payroll adjustments, and supporting documentation as needed.
• Ensure confidentiality and proper handling of sensitive employee and payroll information.
Finance & Billing Support
• Assist with MCO billing, private pay invoicing, payment posting, and maintaining accurate client billing records within QuickBooks and other financial systems.
Assist the Billing Coordinator with maintaining accurate and up-to-date billing records and Electronic Visit Verification (EVV) updates.
• Perform data entry and reconciliation tasks with a high level of accuracy and attention to detail.
Administrative & Clerical Support
• Provide general administrative and clerical support to the Finance Department.
• Maintain organized electronic and physical filing systems for financial, payroll, and employee records.
• Scan, upload, and manage financial and employee documentation in accordance with company procedures.
• Monitor and track outstanding tasks, documentation requests, and departmental follow-ups to ensure timely completion.
• Assist with improving departmental workflows, organization, and administrative processes.
• Collaborate with other departments to support communication and resolution of finance-related matters.
• Perform additional administrative, clerical, and finance-related duties as assigned by management.
Qualifications & Requirements
Education & Experience
• High school diploma or GED required.
• No prior payroll or finance experience required-on-the-job training provided.
• Previous experience in administrative or clerical support roles is a plus.
Skills & Competencies
• Strong attention to detail and accuracy.
• Excellent organizational and time-management skills.
• Effective communication skills, both verbal and written.
• Proficiency in Microsoft Excel, Word, and Outlook.
• Ability to maintain confidentiality and handle sensitive payroll data.
• Customer-service mindset with a willingness to assist employees with payroll-related inquiries.
Other Requirements
• Must pass a pre-employment physical and drug screening.
• Completion of a TB Test is required.
• Criminal background check and fingerprinting required.
Physical Demands & Work Environment
• This is an in-person role based in Georgetown, Delaware; remote work is not available.
• Work is performed in an office environment with standard office equipment.
• Must be able to sit for extended periods and perform repetitive tasks such as data entry.
