Position Summary

City Security Services is experiencing significant growth and is seeking a highly organized and detail-oriented Finance Assistant to support our Finance Director. This position will focus on transactional accounting, accounts receivable, billing support, data entry, account reconciliation, and day-to-day financial operations.

The primary objective of this role is to remove administrative and operational workload from the Finance Director, allowing her to focus on financial analysis, forecasting, cash flow management, budgeting, strategic planning, and executive reporting.


Job Details:

  • Full time: Monday - Friday (no nights or weekends)
  • 100% on site location
  • Salary range: $55-65K annual

Key Responsibilities:

Billing & Accounts Receivable

  • Generate client invoices accurately and on time.
  • Review billing reports for completeness and accuracy.
  • Track outstanding invoices and assist with collections efforts.
  • Reconcile billing discrepancies with Operations.
  • Maintain customer account records.

Accounts Payable

  • Enter and process vendor invoices.
  • Verify invoice approvals and supporting documentation.
  • Prepare payment reports for management review.
  • Maintain vendor files, W-9, 1099's
  • Assist with vendor communications regarding payments.

Financial Administration

  • Perform data entry and maintenance within accounting systems.
  • Reconcile employee credit card expenses
  • Organize financial records and maintain digital filing systems.
  • Prepare routine financial reports and spreadsheets.
  • Support month-end and year-end closing activities.

Operational Support

  • Work closely with Operations Managers to verify billing information.
  • Assist with contract setup and client account onboarding.
  • Provide general administrative support to Finance Director.
  • Support audits, insurance requests, and compliance reporting.
  • Assist with special projects as assigned by the Finance Director.

Qualifications

Required

  • 5+ years' experience in finance roles.
  • Intermediate to Advanced Microsoft Excel skills.
  • High attention to detail and accuracy.
  • Ability to manage multiple deadlines simultaneously.
  • Strong organizational and communication skills.
  • Experience handling confidential financial information.

Preferred

  • Experience with Track Tik or similar guard software systems
  • Experience in security, finance, or service industries.
  • Associate or bachelor's degree in accounting, finance, or business administration.
  • 5 + years' experience with QuickBooks Online

Success Metrics

The successful candidate will:

  • Ensure weekly invoices are submitted accurately and on time.
  • Maintain organized financial records.
  • Decrease the Finance Director's administrative workload.
  • Improve financial reporting accuracy and timeliness.
  • Support the company's growth from $6M to $10M+ in annual payroll volume.

Compensation

  • Competitive salary based on experience.  $ 55-65K  annual
  • PTO and company benefits.

Ideal Candidate Profile

This is not a Finance Director or Controller position. We are looking for a highly dependable "doer" who enjoys handling the details, processing transactions, maintaining accuracy, and keeping the financial engine running smoothly while allowing the Finance Director to operate at a more strategic and analytical level.
