Works Closely With: Corporate Finance and HR teams

Employment Type: Full-Time

Position Overview

Our growing company is seeking a dynamic, organized, and adaptable individual with experience in finance management along with administrative and operations task capability. We are seeking an immediate hire to oversee essential functions spanning bookkeeping oversight, ADP payroll/time system management, accounts receivable/payable, cash-flow reporting and projections, budget management, HR (recruitment, onboarding, offboarding, employee relations/compliance, benefits administration, and performance management), and support other administrative and office functions of the business. This role is designed for a professional who thrives in a multi-faceted environment and is ready to contribute to the company’s operational success, culture, and sales growth. You will be the primary Finance and HR contact for North America, collaborating with a global Finance/HR team to ensure alignment with global policies and initiatives.

Key Responsibilities -

1. Financial Management (60%)

• Manage the accounts receivable process, including invoice preparation, issuance, and follow-up, in close collaboration with project managers.

• Manage accounts payable and support budget monitoring and reporting. Provide directors and president monthly summary of expenditures compared to allocated budget.

• Manage the semi-monthly payroll process and 401(k) administration.

• Provide oversight of bookkeeping 3rd Party contractor to ensure monthly closes and yearly audits are completed.

• Support document management and contract administration for the finance function to include the sharing of redacted contracts with corporate finance office.

• Support the annual budgeting process, ongoing forecasting, and financial analysis in collaboration with local management, budget owners, and Corporate Finance team.

• Assist with maintaining local, state, and federal registrations and certifications on an annual basis.

• Manage company banking, including credit card accounts, payment processing, and financial documentation.

• Produce Board of Directors financial reports and future projections as directed by the President.

• Participate in Corporate Finance reporting processes and meetings, working closely with the Corporate Finance team.

2. Human Resources Management (30%)

· Manage the end-to-end recruitment process, including job postings, candidate screenings, interviews, onboarding, offboarding, and recruitment administration, including employment documentation.

• Develop and maintain job descriptions and organizational charts, ensuring all changes are aligned with and communicated to the Group HR team.

• Ensure compliance with all U.S. federal, state, and local employment laws and regulations. Advise line managers on employee relations and corrective action plans.

• Maintain accurate and confidential employee records.

• Oversee employee benefits administration, including healthcare, retirement plans, and leave policies.

• Create and adjust time system and billing codes as directed by the president.

• Drive, support and train local managers in all people & organization-related processes

• Develop and maintain local HR policies and procedures in collaboration with the Corporate HR team, ensuring alignment with corporate policies while meeting local business and legal requirements.

• Participate in corporate level coordination meetings and projects.

Operations & Other Duties Assigned (10%)

• Coordinate Office vendors to ensure office space and facilities meet the intent of the business.

• Planning, organizing, and executing office events, team-building activities, and other initiatives to foster a positive workplace environment as directed by the president.

• Ensure the company's insurance coverage, including facility and umbrella insurance, meets business requirements.

• Assist with the management of several administrative systems within the company that span from HR to Finance to Operations and Sales.

Qualifications -

Required:

• Proven experience in a multifaceted role combining finance, HR, and/or business support responsibilities, with the ability to collaborate effectively across international teams.

• Strong financial acumen and experience with budget tracking, expense management, or similar functions.

• Familiarity with U.S. employment laws and HR compliance requirements.

• Knowledge of accounting software (e.g., Unanet).

• Excellent communication skills, both written and verbal, with a professional demeanor.

• Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities.

• Proficiency in Microsoft Excel, including the ability to work with formulas, data analysis, and reporting, as well as experience with CRM platforms (e.g., HubSpot) and Microsoft Office.

• Must be able to pass Federal security checks and gain a US Government clearance.

• Must be a US Citizen.

Preferred:

• Military or Defense industry experience

• Previous experience in a small business or start-up environment.

• Experience organizing company events and promoting employee engagement.

• Sales or pre-sales experience
