Job Title: Project Site Administrator
Role Overview
We are seeking an organized and resourceful Project Site Administrator to join our onsite construction team. You will serve as the primary administrative anchor for the field staff, ensuring that the project's essential functions-including workforce onboarding, time tracking, payroll processing, and site reporting-are managed with precision.
This is a fast-paced role for an administrative professional who thrives in a construction environment. You will be the point person for all incoming field personnel, managing the full lifecycle of the site team while ensuring our daily reports, safety logs, and project documentation remain organized and audit-ready. If you are a natural problem-solver who can navigate the unique challenges of a job site and keep a team of field professionals organized, this is the perfect role for you.
Key Responsibilities
Workforce Management & Onboarding
โ€ข Onboarding Lifecycle: Facilitate the end-to-end onboarding of new field personnel. Manage the paperwork process, orientation materials, and ensure every new hire is set up for success from their first hour on site.
โ€ข Payroll Administration: Manage weekly timecard submissions for field staff. Audit entries for accuracy, resolve discrepancies, and ensure payroll is processed on time and without error.
โ€ข Systems Support: Act as the primary interface between the site team and the corporate office for IT requests, hardware support, and supply procurement.
Site Administration & Documentation
โ€ข Project Reporting: Support the flow of information between field, vendors, and clients. Prepare, consolidate, and maintain critical project binders, task plans, and daily safety reports.
โ€ข Technical Documentation: Assist in the creation of site-specific documentation, such as equipment labeling schedules and project-tracking charts, based on approved design drawings.
โ€ข Logistics & Organization: Manage site office operations, including inventory of supplies, filing/record-keeping, and ensuring the site trailer environment is organized and professional.
Qualifications & Requirements
Minimum Qualifications
โ€ข Experience Baseline: Minimum of two (2) years of experience in an administrative or operational support role, preferably within a construction or industrial environment.
โ€ข Payroll & Compliance: Proven experience with payroll processing, timecard management, and employee onboarding.
โ€ข Technical Literacy: Advanced proficiency in Microsoft Office (Outlook, Excel, Word) and a willingness to learn site-specific tracking systems.
โ€ข Communication: Exceptional organizational and interpersonal skills-you must be comfortable interacting with field foremen, project superintendents, and external vendors daily.

โ€ข Education: High School Diploma/GED required; college degree in Business or Construction Management is a plus.
