Overview

MasTec Communications Group is a leading national infrastructure construction company operating throughout the United States. Responsibilities

The Office Administrator is responsible for coordinating facility needs and E2E admin overflow.

In addition, you will:

  • Monitor and maintain office and break room supply inventory
  • Oversee travel portal access and book travel as needed
  • Manage all cell phone orders, suspensions, and reporting
  • Coordinate with the Corporate IT department on logging and managing all office assets
  • Order, suspend, and cancel credit cards as needed
  • Review timely expense reporting with the accountable manager as needed
  • Maintain relationships with vendors, service providers, and landlords, ensuring items are invoiced and paid on time
  • Manage all mail and package shipping/distribution (FedEx, UPS, US Mail)
  • Provide general support to visitors
  • Participate actively in the planning and execution of company events
  • Verify I-9 documentation and assist with HR onboarding as necessary
  • Assist with any administrative overflow (PC work)
  • Perform all ad hoc office needs
  • Other job duties as assigned

Qualifications

  • High school diploma or general education degree (GED)
  • A college degree in a related field or equivalent years of work experience, is preferred
  • 1-2 years of experience as an Office Manager or Administrative Assistant
  • Hands-on experience with office machines (e.g., fax machines and printers)
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Works primarily in an office environment; must have the ability and be willing to travel, as required, for job-related functions
