Job description

Job Summary/Company: Sparks Group has partnered with a well-established client that provides customized business solutions, reception services and professional offices to hundreds of local, national and international businesses. They are seeking a highly engaging and driven Part Time Office Administrator to join their team for 2-3 days a week and to cover vacations. Apply now!

Responsibilities

  • Answer a high volume of phone calls
  • Schedule conference room appointments and prospect tours.
  • Ensure all appointments get logged on shared calendar.
  • Assist customers with technology (copy, print, scan, fax, accessing the Internet, use of the telephone)
  • Perform business services (book appointments, qualify leads, register participants for events, coordinate meetings)
  • Answer phone calls between the first and third ring; then screen and announce the caller according to each customerโ€™s instruction
  • Straighten and clean the kitchen, office rooms, and other shared spaces throughout the day
  • Check the fax machine throughout the day and either scan and email the faxes or store them, depending on the customerโ€™s preferences
  • Monitor the use of supplies and equipment, placing orders and restocking
  • Additional tasks and duties as assigned
Qualifications/Background Profile:
  • Must have excellent written and verbal communication as well as excellent listening skills
  • Must love working with a team and working in a fast paced environment
  • Must have strong analytical and problem-solving skills
  • Strong Computer skills including the ability to use Excel, Word, Outlook, and the Internet at a highly proficient level
