Position Summary

The Facilities Coordinator plays an essential role in keeping Facilities Services organized, responsive, and ready to support City of Hope’s mission. Working with department leadership, this position coordinates supplies and services, supports daily administrative activities, helps collect departmental data, and assists with maintaining compliance with accreditation agencies and other authorities. This is an excellent opportunity for a resourceful, highly organized professional who enjoys solving problems, building vendor relationships, and improving operational efficiency.

As a successful candidate, you will:

  • Coordinate the ordering, procurement, receipt, stocking, and inventory of departmental supplies.
  • Evaluate inventory and identify opportunities to reduce costs and improve efficiency.
  • Maintain organized inventory storage areas and the maintenance shop.
  • Prepare complete requisitions and research new vendors, equipment, parts, and services.
  • Partner with purchasing, receiving, vendors, and accounts payable to resolve issues and keep orders moving.
  • Meet with vendors, obtain bids, negotiate pricing, and resolve discrepancies.
  • Coordinate product returns, rentals, outside services, equipment repairs, and replacements.
  • Issue and dispatch preventive and corrective work orders, helping ensure timely completion.
  • Coordinate system testing, repairs, departmental training, and computerized data activities.
  • Support compliance monitoring, facility committee data preparation, minor maintenance projects, and e-waste disposal.

Your qualifications should include:

  • High school diploma or GED.
  • At least two years of related experience including working with CMMS platforms, preventative maintenance (PM), work orders, equipment inventory, and equipment ordering.
  • Strong organizational, written, verbal, telephone, and interpersonal skills.
  • Ability to work independently, manage changing priorities, and collaborate across functional teams.
  • Basic knowledge of building construction methods, building systems, tools, and equipment.
  • Valid California driver’s license.
  • Experience working in healthcare strongly preferred.
