Job description

Job Title: Export CoordinatorJob Description
The Export Coordinator plays a key role in ensuring that international shipments move smoothly, accurately, and on time from origin to destination. This position focuses on data entry, export file creation, documentation compliance, and coordination between suppliers, truckers, carriers, and customers. The role requires strong critical thinking, the ability to prioritize tasks in a fast-paced environment, and clear, professional communication with all parties involved in the export process.
Responsibilities
  • Create and maintain export files within the enterprise system, ensuring all data is accurate, complete, and up to date.
  • Ensure that shipments and related files move efficiently through the export process and meet required timelines.
  • Coordinate the movement of shipments between origin suppliers, truckers, carriers, and destination customers, maintaining clear communication at every stage.
  • Understand the full transaction flow and roles of all parties involved, including identifying the client, billing party, trucking arranger, carrier, delivery arranger at destination, and terms of sale.
  • Verify that shipper setup documents are complete, including POA, EAL, SLI, and contact information, before processing shipments.
  • Book and arrange cargo space with carriers and schedule pick-ups for confirmed cargo.
  • Send booking confirmations and work orders to suppliers or designated pick-up locations to confirm availability and shipment details.
  • Provide timely, professional, and customer-focused responses to customers, carriers, suppliers, and other stakeholders.
  • Arrange trucking and pick-up services while confirming and communicating any special requirements such as hazardous materials, fumigation, or other special handling needs.
  • Confirm and communicate shipment appointments, delays, changes, and status updates throughout the shipment lifecycle.
  • Monitor and manage both personal and shared email inboxes with the team to ensure prompt follow-up and issue resolution.
  • Apply a basic understanding of international logistics to support compliant and efficient export operations.
  • Perform rate filing once shipments are confirmed, in coordination with trucking and/or shippers, to ensure alignment with FMC requirements.
  • Support export documentation processes to ensure accurate and compliant documentation for all exported goods.
  • Assist team members as needed to meet customer requirements and uphold a high standard of service.

Pay and Benefits
