Summary

The Export Coordinator / Export Logistics Coordinator is responsible for coordinating and processing international customer orders to ensure timely and accurate shipment. This role manages export order release and scheduling, coordinates with internal departments and external freight forwarders, prepares and verifies international shipping documentation, tracks shipments, monitors backorders, and supports compliance and continuous improvement activities. The position requires strong attention to detail, organization, communication, problem-solving, and proficiency with Microsoft Office.

Responsibilities

• Manage and communicate shipping schedules for export sales orders to support efficient flow through picking, quality control, and packing.
• Monitor, allocate, and release export orders to the floor in a timely manner.
• Monitor stocked items for backorder fulfillment and conduct daily open-backorder reviews to prioritize orders.
• Request and document booking information from freight forwarders and maintain transportation instructions and charges on customer orders.
• Prepare export shipment documentation, including commercial invoices, packing lists, certificates of origin, and shippers’ letters of instruction.
• Verify the accuracy and compliance of Bills of Lading, Airwaybills, Inland/Straight Bills of Lading, Shipper’s Export Declarations, and other documents required for international shipments.
• Coordinate samples and provide required export documentation.
• Communicate with International Customer Service and freight forwarders regarding pickup, transportation, and delivery of international orders.
• Track containers and orders using applicable internal and external systems.
• Determine outbound scheduling of trucks and containers to ensure appropriate priority and efficient order flow.
• Perform compliance self-assessment audits and implement corrective actions as needed.
• Support special projects, including duty drawback and freight tender activities.
• Collaborate daily with Picking, Production, Quality, Shipping, and Customer Service teams and weekly with Receiving.
• Support business objectives related to safety, quality, customer delivery, customer service, productivity, and continuous improvement.
• Maintain a clean and organized work area.
• Perform other duties as assigned.

Required Skills

• High school diploma or equivalent required; degree preferred.
• Fully proficient in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
• Strong attention to detail, particularly when preparing and reviewing critical documentation.
• Ability to manage multiple tasks, establish priorities, and meet deadlines.
• Strong organizational, mathematical, and problem-solving skills.
• Excellent written and verbal communication skills.
• Ability to communicate openly and effectively with internal teams and external partners.
• Self-motivated with the ability to learn new processes and work independently.
• Knowledge of general business computer software and ability to learn new software applications.
• Ability to coordinate effectively across multiple departments and stakeholders.
• Ability to review, prepare, and maintain accurate shipping and export documentation.

• Ability to work in a fast-paced environment while maintaining accuracy and productivity.
• Ability to stand, walk, reach, push, pull, lift, grasp, and perform repetitive motions as required.
• Ability to perform light work involving occasional lifting or exertion of up to 25 pounds.
• Ability to work extensively with computer terminals, data, figures, and written documentation.
