Job Summary

We are seeking a highly organized, proactive, and service-oriented Executive Assistant to support the daily operations of the 92NY Executive Office. This role provides high-level administrative and organizational support to the CEO and President.

This role serves as a central coordination point for executive communications, scheduling, and logistics-working across internal departments and with external partners, patrons, stakeholders and board of directors. In addition to core administrative responsibilities, the role contributes to special projects and attends events, as needed.

The ideal candidate is detail-oriented, an excellent communicator, and thrives in a fast-paced, mission-driven environment that requires discretion, adaptability, and sound judgment.

Job Responsibilities Include
    Provide comprehensive administrative support to the Executive Office, including calendar and technology management, scheduling, meeting coordination, and event planning and set-up.
  • Prepare and organize materials for executive meetings, committees, and Board engagements, including presentations, reports, project updates, and programming documentation.
  • Serve as a primary point of contact for the CEO and President on administrative and technical matters, including welcoming external guests and coordinating hybrid and in-person meetings.
  • Manage incoming communications (mail, email, and phone), prioritizing items for executive attention and routing inquiries to appropriate departments or staff when needed.
  • Support special projects and research initiatives as assigned by the CEO and President.
  • Provide ad hoc administrative assistance to members of the Executive Leadership Team and other departments, as requested.
  • Perform other related duties in support of Executive Office operations and organizational needs.
Experience, Education, & Skills Desired
  • Bachelor's degree preferred.
  • Minimum of seven years' experience providing executive support to executive-level leadership.
  • Advanced proficiency in Microsoft Office Suite, with demonstrated ability to produce polished, accurate, and timely materials.
  • Exceptional attention to detail and a high standard of accuracy and follow-through.
  • Strong organizational and time-management skills, with the ability to prioritize effectively and manage a demanding, dynamic workload.
  • Proven ability to handle multiple projects simultaneously while navigating competing priorities and unexpected challenges.
  • Outstanding interpersonal and communication skills, with the professionalism, discretion, and diplomacy required to manage confidential matters and engage effectively with patrons, including major and high-profile donors.
  • A collaborative, dependable team player who works effectively across departments and contributes positively to a collegial work environment.
Work Environment & Requirements

40 hours/week. Monday - Friday, 9:00 a.m. - 6:00 p.m. with flexibility to attend evening and weekend events as needed.
