Hours: Approximately 10 hours per week

Work Arrangement: Hybrid - Approximately 4 to 5 hours per week may be completed remotely, with the remaining hours requiring in-person attendance for board meetings, organizational support, and other business needs as necessary.

Vesta, Inc., a thriving not-for-profit mental health organization, located throughout Maryland. With a steadfast commitment to excellence, we offer comprehensive behavioral healthcare services, including clinic facilities, day programs, and residential homes tailored to individuals grappling with mental health disorders.

We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Contractor to provide administrative support to the Chief Executive Officer (CEO) and the organization's Board of Directors. This position plays a key role in supporting effective communication, coordinating meetings, maintaining organizational records, and ensuring smooth day-to-day administrative operations.

The ideal candidate is professional, discreet, adaptable, and comfortable working with executive leadership while independently managing multiple priorities.

Key Responsibilities
  • Provide administrative support to the CEO and Board of Directors.
  • Coordinate and schedule Board of Directors, committee, and executive meetings.
  • Prepare, distribute, and maintain meeting agendas, board packets, minutes, and related materials.
  • Manage confidential correspondence, organizational records, and documentation with a high degree of discretion.
  • Assist with board communications and follow up on action items.
  • Coordinate logistics for virtual and in-person meetings.
  • Maintain organized electronic filing systems.
  • Support special projects, organizational events, and strategic initiatives as assigned.
  • Serve as a professional point of contact for board members, community partners, and stakeholders.
  • Perform other administrative duties that support organizational operations.

Qualifications
  • Experience providing executive administrative support, preferably to senior leadership or nonprofit boards.
  • Excellent organizational, planning, and time management skills.
  • Strong written and verbal communication skills.
  • Demonstrated professionalism, integrity, and ability to maintain confidentiality.
  • Proficiency with Microsoft 365, Zoom, and other standard business applications.
  • Ability to work independently and manage competing priorities with minimal supervision.

  • Experience supporting nonprofit organizations or governing boards is preferred.

Work Schedule

This independent contractor position averages approximately 10 hours per week. Approximately 4 to 5 hours may be performed remotely, with the remaining hours dedicated to in-person meetings, board support, or other organizational needs.
