Job description

The Executive Assistant provides high-level administrative, operational, and business support to Managing Directors within the Leadership Practice. Serving as a trusted partner, the Executive Assistant manages complex workflows, coordinates client and executive activities, and ensures the seamless execution of business operations. This role requires exceptional judgment, initiative, discretion, and attention to detail, as well as the ability to anticipate needs, multi-task, solve problems proactively, and contribute to firmwide priorities and continuous improvement efforts. This position operates in a primarily remote environment and requires the ability to build strong working relationships, communicate effectively, and manage priorities independently across distributed teams.


EA Responsibilities:

  • Maintain all Salesforce records including web lead opportunities, engagements, accounts, and contact entries.
  • Manage time tracking, client billing workflows and expense reports in Deltek Maconomy.
  • Serve as a central point of coordination among executives, clients, and internal stakeholders to ensure timely communication, follow-through, and execution of business priorities.
  • Anticipate executive and business needs, proactively identifying issues and implementing solutions with minimal direction.
  • Manage complex executive calendars, priorities, and scheduling logistics while balancing competing demands and shifting business priorities.
  • Support business development activities by preparing proposals, reports, engagement letters, statements of work, and other client-facing materials.
  • Coordinate meetings and events, ensuring preparation of materials, logistics management, stakeholder communication, and follow-through on action items.
  • Monitor, prioritize, and respond to executive communications as appropriate, exercising sound judgment and discretion.
  • Support cross-functional initiatives, projects and process improvements.
  • Partner with senior firm leaders and cross-functional teams beyond direct executive assignments to support business objectives and firmwide strategic initiatives.
  • Access and prepare reports and business development information to support executive decision-making.
  • Establish and pursue individual professional development goals to enhance skills, effectiveness, and career growth.
  • Plan and manage executive travel and accommodations, anticipating needs, mitigating potential disruptions, and ensuring a seamless travel experience.
  • Assist in developing, editing, and formatting professional documents, presentations, and client-facing materials, ensuring accuracy, consistency, and a high standard of quality.
  • Collaborate with HR, IT, Marketing and Finance to support executive onboarding, technology setup, and systems troubleshooting.
  • Assist with training of new EAs.
  • Other duties as assigned.


Required Skills/Abilities:

  • Demonstrated experience supporting senior-level executives in a fast-paced professional services, consulting, or similar business environment.
  • Strong organizational skills with the ability to manage multiple priorities, competing deadlines, and changing business demands.
  • Support needs of the New York satellite office, including occasional onsite presence approximately once per week as needed and coordination of annual New York employee engagement events.
  • Experience with Deltek Maconomy or similar timekeeping, billing, and expense management systems preferred.
  • Exceptional written and verbal communication skills, including editing, proofreading, and preparation of professional business materials.
  • Ability to adapt support approaches to varying executive work styles, preferences, and business needs.
  • Proven ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
  • Strong problem-solving skills, resourcefulness, and initiative.
  • Demonstrated professionalism, executive presence, and confidence interacting with senior leaders, clients, and key stakeholders.
  • Ability to build and maintain effective working relationships across all levels of the organization.
  • Proficiency with Microsoft Office Suite and business technology platforms including Salesforce, Zoom, Teams, and related applications.
  • Demonstrated adaptability and willingness to learn and leverage emerging technologies, including AI-enabled productivity tools.
  • Ability to work independently while collaborating effectively across teams and functions.


Education and Experience:

  • Associate’s degree required, bachelor's degree preferred
  • 5-10+ years of progressively responsible administrative or executive support experience, including support of senior leaders and management of complex business priorities.
  • Authorized to work in the US (sponsorship will not be provided)
  • Remote Workstyle (availability within Eastern and Central time zone(s) preferred)


Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.


Compensation:

The base salary compensation range being offered for this role is $80,000– $90,000 USD per year. This role is also eligible for an annual short-term incentive bonus.
