Executive Assistant Critical Access Hospital Administration

Temporary with Temp-to-Hire Potential | On-Site


WHSN is seeking a highly organized and proactive Executive Assistant to support two senior leaders at a respected Critical Access Hospital located in the beautiful Snoqualmie Valley region, just outside of Seattle and near Bellevue.


This is an excellent opportunity for a polished professional who thrives in a fast-paced environment, anticipates needs before they arise, and enjoys supporting mission-driven healthcare leadership. This position is primarily on-site, although occasional remote workdays may be considered.


Position Details


  • Schedule: MondayFriday
  • Hours: 8:00 AM 4:30 PM
  • Guaranteed Hours: 40 hours per week
  • Assignment Length: 13 weeks
  • Expected Start: Mid-June
  • Pay Range: $40$44/hour depending on tax-free stipend eligibility
  • Potential: Temp-to-perm opportunity available


Responsibilities

  • Manage complex executive calendars, scheduling meetings, coordinating travel, and anticipating leadership needs to keep priorities moving forward efficiently.
  • Prepare meeting agendas, coordinate materials, record minutes, and track action items during executive and leadership meetings.
  • Draft professional correspondence, reports, presentations, and other executive-level communications with exceptional accuracy and attention to detail.
  • Serve as a trusted liaison between senior leadership, internal departments, external partners, and community stakeholders.
  • Complete monthly credit card reconciliations and expense reimbursements.
  • Support executive initiatives and strategic projects, helping ensure milestones and deliverables are met on schedule.
  • Maintain organized systems for files, contracts, records, and confidential documentation.
  • Provide high-level administrative and operational support in a dynamic healthcare environment.


Qualifications

  • Advanced proficiency in Microsoft Office Suite including Excel, Teams, Word, PowerPoint, and Outlook.
  • Experience using AI tools for drafting, summarization, workflow optimization, and administrative efficiency strongly preferred.
  • Exceptional organizational and project management skills with the ability to manage competing priorities and execute independently with minimal oversight.
  • Strong written and verbal communication skills, including experience preparing clear, concise, and actionable meeting minutes.
  • Demonstrated professionalism, discretion, and sound judgment handling confidential and sensitive information.
  • Self-directed and proactive work style with strong problem-solving abilities and initiative.
  • Ability to interact effectively and professionally with executives, clinicians, board members, and community leaders.
  • Skilled at managing up, down, and across teams with clarity, diplomacy, and confidence.
