About the Role

The Executive Assistant to the CEO is the person who creates structure, clarity, and momentum at the center of our organization. You will enable our CEO to focus on what matters most - managing time, coordinating workflows, and making sure the right things move forward across the leadership team.


While the CEO is your primary partner, you will also support other members of our executive team - coordinating across leaders, balancing competing priorities, and keeping the whole C-suite running with the same consistency and follow-through.

This is also the senior-most administrative role at Listen Technologies. You will set the standard for administrative support across the company, and as our team grows, you will manage the administrative function - providing direction today and supervising administrative and executive support staff as those roles are added.

What You Will Do

Own the CEO's time and priorities

  • Manage and optimize a complex calendar so it reflects real priorities.
  • Serve as a thoughtful gatekeeper - balancing accessibility with focus.
  • Anticipate scheduling conflicts and resolve them before they become problems.


Support the executive team

  • Provide executive support to other C-suite leaders - meetings, travel, expenses, and document preparation.
  • Balance and prioritize requests across multiple executives with sound judgment.
  • Support executive team meetings, offsites, and planning sessions end to end.


Drive executive coordination

  • Prepare agendas, materials, and briefing documents for key meetings.
  • Capture action items and track commitments through to completion.
  • Keep momentum on the initiatives that matter most.


Lead the administrative function

  • Supervise and provide work direction to administrative and executive support staff, including performance feedback and workload prioritization.
  • Establish consistent standards, practices, and tools for administrative support company-wide.
  • Coordinate coverage and cross-training so support never lapses.
  • Mentor and develop administrative team members.
  • Partner with HR on hiring and onboarding as the function grows.


Support the board and leadership team

  • Coordinate board meeting logistics and pre-read materials.
  • Ensure deadlines are met and materials are complete and polished.


Manage travel and communications

  • Build detailed domestic and international itineraries that anticipate needs.
  • Draft and edit correspondence in the CEO's voice.
  • Handle sensitive personnel, financial, and strategic information with complete discretion.

What You Bring

  • 3+ years supporting a senior executive, ideally a CEO or C-suite leader.
  • Experience juggling priorities across multiple senior stakeholders.
  • Exceptional organizational skills and genuine attention to detail.
  • Strong writing - you can draft clearly, and in someone else's voice.
  • Proficiency with Microsoft Office (Outlook, Word, PowerPoint) and collaboration tools like Teams.
  • Professionalism and discretion with confidential information.

Nice to Have

  • Experience supporting an executive team or multiple C-suite leaders at once.
  • Experience supervising, mentoring, or directing the work of administrative staff.
  • Familiarity with AI tools.
  • Experience with board meeting preparation and executive offsites.
