Executive Assistant
LHH Recruitment Solutions is partnering with a growing organization in Phoenix, Arizona, to hire an experienced Executive Assistant. This position will serve as a key partner to senior leadership, helping manage daily operations, communications, scheduling, and high-level administrative initiatives. The ideal candidate is proactive, highly organized, and thrives in a fast-paced corporate environment.
Key Responsibilities
  • Provide direct administrative support to executive leadership and act as a trusted point of contact for internal and external communications.
  • Manage complex calendars, coordinate schedules, and prioritize appointments to maximize executive productivity.
  • Organize meetings, conferences, and special events, including logistics, room reservations, and attendee communications.
  • Prepare meeting materials, presentations, reports, agendas, and other executive-level documentation.
  • Document meeting discussions, track follow-up items, and communicate action plans to stakeholders.
  • Process and reconcile executive expense reports while assisting with financial reporting requests.
  • Develop professional PowerPoint presentations and executive-facing reports.
  • Review agreements and business documents to ensure completeness and compliance with company standards.
  • Coordinate office operations, including ordering supplies, maintaining inventory records, and supporting workplace organization.
  • Welcome visitors, oversee guest access procedures, and ensure adherence to office security protocols.
  • Assist with data management, file maintenance, document preparation, and other administrative projects.
  • Collaborate with teams across the organization to support business initiatives and executive priorities.
Qualifications
  • High school diploma or GED required; Associate's or Bachelor's degree preferred.
  • Minimum of 4 years of recent experience supporting senior leadership or C-suite executives.
  • Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong verbal and written communication skills with a polished and professional demeanor.
  • Ability to handle confidential information with discretion and sound judgment.
  • Proven experience working in a fast-paced, deadline-driven environment.
