Job Title: Executive & Personal Assistant

Subtitle: Travel, Experiences & Impact

Location: Fort Lauderdale, FL

Employment Type: Full-Time, W2 position; typically 35 to 40 hours per week, with a minimum of 30 hours per week

Schedule: Hybrid. Typically 3 to 4 in-person days per week when the CEO is in town, with flexibility for remote administrative work when appropriate. Occasional evenings or weekends may be required based on travel, events, or time-sensitive priorities.

Compensation: $35 to $40 per hour, based on experience

Role Overview

We are seeking a highly organized, proactive, resourceful, and tech-forward Executive & Personal Assistant to support the CEO across executive priorities, business operations, communication, travel, special projects, and high-importance follow-through. This is first and foremost an executive support role, with select personal coordination and operational support included to reduce friction, protect focus, and maintain momentum.

The ideal candidate is calm under pressure, exceptional with details, highly discreet, and comfortable operating in a fast-moving environment with shifting priorities. This role centers on coordination, execution, and operational continuity, supported by strong systems, sound judgment, and smart use of outside resources. At times, the role will also require occasional light hands-on support to help keep spaces organized, presentable, and running smoothly, particularly around travel, guests, events, or other high-priority moments.

This is not a standard assistant role. It is high-visibility, high-trust, and well suited to someone who wants to become an indispensable right hand in a business and leadership environment that is growing, evolving, and making a real mark.

Key Responsibilities

Executive Support & Business Operations

- Proactively manage the CEO's calendar, scheduling, travel, and shifting priorities

- Oversee inbox triage, draft responses, manage follow-through, and maintain organized communication

- Serve as a thoughtful gatekeeper, helping manage access, requests, priorities, and time

- Prepare meeting agendas, notes, action items, and follow-up to ensure nothing slips

- Track projects, deadlines, deliverables, and next steps across CEO, company, and cross-functional priorities

- Support research, planning, reporting, and execution for business initiatives and special projects

- Draft, organize, and manage documents, presentations, files, and digital systems with a high level of confidentiality

- Support speaking, media, PR, partnership, and executive visibility opportunities as needed

- Assist with logistics tied to charitable, community, or mission-driven initiatives as needed

- Use AI tools and modern systems to improve research, communication, process design, and operating efficiency

Operations, Logistics & Personal Coordination

- Coordinate schedules, appointments, vendors, deliveries, and recurring logistics tied to CEO priorities

- Manage travel-related logistics with a high level of detail, efficiency, and adaptability

- Support errands, purchases, returns, provisioning, and general coordination needs as assigned

- Maintain visibility across day-to-day operational readiness and proactively flag or solve issues before they become problems

- Help coordinate external support resources and service providers as needed

- Support event logistics, guest coordination, and readiness for select hosted experiences, executive gatherings, or time-sensitive priorities

- Support executive readiness through operational logistics, provisioning, and related coordination tied to travel, events, and evolving priorities

- Provide occasional light hands-on support when needed to maintain continuity, readiness, or time-sensitive flow between service visits or around travel and event windows

Special Projects & Systems

- Assist with special projects across company, executive, and operational priorities

- Help build, refine, and maintain systems, checklists, trackers, SOPs, and workflows

- Support research, sourcing, and coordination for new initiatives, hosted experiences, executive projects, and evolving priorities

- Contribute to a highly organized, well-run operating environment that scales with the CEO and the business

- Participate in structured onboarding and ongoing process development to support consistency, accountability, and strong execution across the role

Qualifications

- Proven experience supporting a founder, CEO, executive, or other high-performing principal in a fast-paced environment

- Strong proficiency in Google Workspace

- Proven proficiency using project management software

- Practical fluency with AI tools is required, including the ability to use them for research, organization, workflow improvement, drafting, and process development

- Strong written and verbal communication skills

- Exceptional organization, attention to detail, discretion, and follow-through

- Sound judgment and the ability to operate independently

- Comfortable in a hybrid, high-touch, fast-moving environment

- Reliable transportation

- Comfortable working in an environment with pets

- Familiarity with EOS is a plus

- Background in travel, hospitality, events, startups, private office, or other high-service environments is a plus

Training & Development

- The successful candidate will complete a company-sponsored training and certification program in executive lifestyle and operations coordination as part of onboarding

- This training is intended to support consistency across standards, systems, readiness, and operational execution within the role

Reporting Structure & Role Parameters

- This role reports directly to the CEO

- This role requires a high level of discretion and regular access to sensitive business, operational, travel, financial, and personal information
