We are seeking an Executive Assistant will serve as a strategic administrative partner with our Chief Medical Officer, Chief Scientific Officer, EVP, Chief of Strategy & Operations and their respective leadership teams, supporting day-to-day operations, complex scheduling, cross-functional coordination, and communications across medical, clinical, and corporate teams. You have experience supporting executives within a growing biotech company and you understand the pace, confidentiality, and regulatory considerations associated with the teams you would support - R&D, clinical and medical operations.
Responsibilities
  • Manage complex calendars, scheduling priorities, and meeting coordination for executive leadership across multiple time zones
  • Coordinate domestic and international travel arrangements, including itineraries, expense reporting, and logistics
  • Prepare, edit, and manage presentations, reports, agendas, meeting minutes, and executive correspondence
  • Support planning and coordination of leadership meetings, board meetings, clinical team meetings, medical affairs discussions, and company events
  • Coordination for medical and scientific conferences including assistance with printing of abstracts/posters, booth set-up or other conference-related activities
  • Serve as a liaison between executives and internal/external stakeholders, including clinical research organizations, healthcare professionals, vendors, and partners
  • Track action items, deadlines, and follow-up activities to ensure timely execution of priorities
  • Assist with document management and maintain confidential records in compliance with company policies and industry standards
  • Support operational workflows related to clinical development, medical affairs, regulatory activities, and cross-functional project coordination
  • Handle sensitive and confidential information with professionalism and discretion
  • Contribute to process improvements and administrative efficiencies across the organization
  • Partner closely with other support staff to support broader organizational initiatives outside of the R&D, Clinical and Medical remit
  • Manage office activities within the R&D floor including the management of supplies, office space, kitchen area, etc.

Education & Experience
  • Bachelor's degree preferred or equivalent professional experience
  • 10+ years of Executive Assistant experience supporting senior executives in biotechnology or pharmaceutical organizations
  • Demonstrated experience supporting medical, clinical development, regulatory, or scientific leadership teams
  • Strong organizational, project coordination, and multitasking skills in a fast-paced environment
  • Excellent verbal and written communication skills
  • High level of professionalism, discretion, and attention to detail
  • Willingness to work broadly with other administrative staff across various enterprise-level workstreams
  • Experience within a publicly traded biotechnology or pharmaceutical company
  • Familiarity with clinical trial operations, medical terminology, and healthcare industry practices
  • Experience supporting C-suite executives, including Chief Medical Officer, Chief Development Officer, or other senior leadership roles
  • Knowledge of regulatory and compliance-sensitive environments

Salary Range
The salary range for this position is $110,000 to $130,000. The final salary offered will depend on several factors, which may include, but is not limited to relevant years of experience, educational background, and geography.
