The Executive Search Operations Specialist serves as a dedicated AtriumWORKS resource embedded within the client's Executive Search function, operating as a direct extension of and as an enabling function for a highly visible team. The position holds accountability for the coordination, administration, and reporting activities that support executive-level searches, ensuring that each search progresses efficiently and that every stakeholder and candidate interaction reflects the client brand, quality standards, and established service levels of the delivery model.

This is an operations position rather than a recruiting position; the role does not hold requisition ownership and does not perform candidate sourcing. The cornerstone of this position is the operational infrastructure supporting VP and above searches, including interview logistics, search documentation, executive reporting, vendor administration and partnership, and process execution.

Given the seniority and executive nature of the stakeholders and candidates involved, the position requires consistent discretion, sound professional judgment, and the ability to represent Atrium and the service model credibly before C-suite leadership. Confidential information is handled as a matter of routine, and the individual in this role is expected to exercise appropriate care without direction.

The role requires advanced scheduling capabilities; the Executive Search Operations Specialist coordinates multi-stakeholder interview loops for executive candidates while partnering closely with executive assistants across the organization. The position sequences competing calendar demands against business urgency while maintaining a high standard of candidate experience.

Reporting responsibilities associated with this position are executive facing. Briefing documents, pipeline reports, search status updates, and metrics packages prepared in this role are presented to CEO, CHRO, and Board audiences, and are expected to meet that standard of accuracy, clarity, and presentation quality without further revision.

The position additionally maintains the administrative and financial mechanics of the function, including search workflow management within the applicant tracking system, external search firm invoicing, purchase order and requisition processing, and ongoing tracking of search progress and vendor spend.

The Executive Search Operations Specialist executes the standard operating procedures established and maintained by AtriumWORKS for the executive search function, applies those procedures consistently across all active searches, and escalates process gaps or recurring points of friction to the AtriumWORKS account team for resolution.

The ideal candidate has a proven track record of excelling as an executive assistant or executive operations professional and demonstrates exceptional organization, attention to detail, and can maintain composure under pressure. This individual brings advanced proficiency in Microsoft Excel and PowerPoint, strong enterprise systems fluency, executive-caliber written communication, and the judgment required to make day-to-day decisions independently. 

Responsibilities

Executive Search Coordination and Logistics 

  • Coordinate all logistical components for VP and above searches, from kickoff through offer acceptance and close.
  • Develop and manage complex, multi-stakeholder interview schedules for executive candidates, maintaining a high standard of service throughout the process.
  • Partner with executive assistants across the organization to secure and protect senior leadership calendar availability.
  • Sequence competing scheduling demands against business urgency and time-to-fill objectives while preserving the quality of the candidate experience.
  • Manage candidate travel arrangements, onsite visits, and day-of-interview logistics.
  • Participate in search update status meetings, document resulting action items, and ensure successful completion and follow-through. 

Candidate Experience and Stakeholder Communication 

  • Serve as a consistent and professional point of contact for executive candidates throughout the search process.
  • Maintain timely and polished communication with candidates, internal stakeholders, and external search partners.
  • Compile talent branding and candidate-facing materials that support the executive candidate experience.
  • Act as a liaison among the Executive Search team, senior leadership, and external search firms.
  • Identify stakeholder requirements in advance and address process issues before they affect the candidate experience. 

Search Administration and Documentation 

  • Manage executive search workflow within the applicant tracking system from kickoff through close.
  • Record interview feedback from hiring teams accurately and within established timeframes.
  • Support the preparation of offer requests, offer letters, and associated documentation.
  • Maintain accurate and current open requisition and candidate tracking records.
  • Support executive onboarding activities as required.
  • Maintain the confidentiality and integrity of all search records and candidate information. 

Reporting and Analysis 

  • Prepare executive search update reports and briefing documents for senior leadership, including CEO, CHRO, and Board audiences.
  • Develop presentations, pipeline reports, and metrics packages that communicate the activity and performance of the Executive Search function.
  • Partner with Talent Intelligence to produce executive search reporting as requested.
  • Maintain search progress tracking and provide interpretation of results alongside the underlying data.
  • Ensure the accuracy and timely delivery of recurring and ad hoc reporting. 

Vendor and Financial Administration 

  • Collect and manage external search firm and vendor invoicing.
  • Create purchase orders and role requisitions and manage them through the approval process.
  • Partner with Finance to track executive search firm and vendor spend against established budget.
  • Maintain accurate vendor spend records and identify variances for escalation. 

Process Execution and Continuous Improvement 

  • Execute the standard operating procedures and process standards established by AtriumWORKS for the executive search function.
  • Identify and escalate process gaps, bottlenecks, and recurring points of friction to the AtriumWORKS account team.
  • Support the implementation and adoption of new processes, templates, and tools as the program evolves. Maintain documentation and data quality standards across all program systems.

Qualifications
  • 4+ years of experience directly supporting senior executives, including executive operations, chief of staff, executive business partner, or senior executive assistant to C-suite leadership; equivalent experience within an executive recruiting or executive search environment will be considered.
  • Demonstrated experience handling highly confidential information with sound judgment and discretion.
  • Proven ability to manage complex, high-level scheduling across multiple senior calendars and competing priorities.
  • Strong project coordination skills, with demonstrated ability to manage multiple concurrent workstreams.
  • Excellent written and verbal communication, including the ability to summarize complex information clearly for an executive audience.
  • Professional presence and established credibility with SVP and above stakeholders.
  • Advanced proficiency in Microsoft Excel and PowerPoint, with strong command of Outlook and Word.
  • Experience with Workday, Coupa, and Smartsheet preferred; equivalent enterprise applicant tracking and procurement system experience will be considered.
  • Demonstrated ability to learn new systems and technologies efficiently.
  • Resourceful problem solver capable of operating effectively within a dynamic, fast-paced, and highly matrixed environment.
  • High degree of integrity, reliability, and trustworthiness, with a demonstrated sense of urgency.
  • Commitment to service excellence and to the quality of the executive candidate experience.
  • Experience within pharmaceutical, life sciences, or another highly regulated industry preferred.
  • Experience working onsite at a client location in a service delivery role preferred.

Compensation

Total compensation will range from $85,000-$105,000 with eligibility for a year-end bonus.
