Position Overview

We are seeking a highly organized, proactive, and adaptable Executive Assistant to support the executive leadership teams of TouchSuite and Grubbrr. The ideal candidate is a fast-paced problem solver with exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities with professionalism and discretion. This role requires someone who can operate effectively in a dynamic environment while handling confidential business and personal matters with sound judgment and a high degree of professionalism.

Key ResponsibilitiesExecutive Support
  • Plan and coordinate activities to ensure executive priorities are achieved and organizational goals are supported.
  • Manage professional and personal scheduling, including calendars, meetings, appointments, travel arrangements, reservations, and related logistics.
  • Coordinate and manage executive travel, including flights, hotels, transportation, itineraries, and meal arrangements.
  • Handle administrative needs for executive leadership and provide general office support.
  • Assist executives with occasional personal tasks and errands as needed.
Communication & Coordination
  • Represent executive leadership in internal and external communications with professionalism and confidentiality.
  • Organize team communications and assist with planning company meetings, events, and special projects.
  • Maintain professionalism and strict confidentiality with all sensitive information and materials.
Office & Vendor Management
  • Coordinate with building and office vendors, including maintenance, cleaning, landscaping, and related service providers.
  • Help oversee office organization, supplies, and facilities-related needs.
Qualifications
  • Minimum of 3+ years supporting C-Suite executives or senior leadership teams.
  • Strong experience with complex scheduling, calendar management, and travel coordination.
  • Excellent organizational, multitasking, and time-management skills.
  • Strong verbal and written communication abilities.
  • Technology-savvy with proficiency in Microsoft Office and the ability to quickly learn new systems and platforms.
  • Ability to maintain confidentiality and exercise discretion in sensitive situations.
  • Professional demeanor with a proactive, solutions-oriented mindset.
  • Reliable transportation and flexibility for occasional after-hours support when necessary.
