Job description

Odyssey Systems has an exciting opportunity as a SWAC Executive Manager Support Specialist,providing Advisory and Assistance Services supporting the US Space Force and its mission to Protect and Defend National Security Interests in Space as a member of the Space Warfighting Analysis Center (SWAC) team. The qualified candidate will provide on-site Executive Management support to senior executives of multiple SWAC Offices within the SWAC Reston Front Office.  As a SWAC Executive Manager Support Specialist, the candidate will provide on-site support to SWAC leadership and staff. The candidate will receive direction from SWAC leadership, provide support services to the Deputy Director, and serve as a strategic advisor to optimize day-to-day operation of the SWAC.

This is a full-time position in Reston, VA.


Duties include, but are not limited to:  

  • Help manage the Reston SWAC leadership offices dynamic daily calendars and travel schedules, interfacing with senior officers/executives from multiple military commands and intelligence agencies and facilitating communication between SWAC senior executives and staff.
  • Support the SWAC DAG in analyzing incoming taskings with a critical mindset to determine the appropriate product and information required for response 
  • Schedule meetings/events to maximize SWAC leaders’ time. Identify meeting participants, subject matter experts (SMEs) and required materials to thoroughly address the issue. 
  • Arrange travel plans for the Reston SWAC leadership, using the Defense Travel System (DTS), to find and book optimal flights, lodging, and ground transportation to meet mission requirements.
  • Assist with preparation of travel vouchers in the DTS following trips and perform records management and gather/develop all necessary paperwork/documentation in support of SWAC leadership travel.
  • Help ensure the Directors are thoroughly prepared for each scheduled event, to include scheduling preparation time, providing read-ahead materials, biographies of participants, subject matter experts, and arranging advanced meetings, as required.
  • Prepare correspondence, handle information requests, and perform functions such as answering phone calls, organizing and scheduling meetings/VTCs, arranging conference calls, receiving/escorting visitors, writing meeting minutes as required, making copies and managing functions such as mail, courier service, records management, etc.
  • Track and manage work tasks/action items using Enterprise Task Management System (ETMS2).
  • Assist in organizing and managing extensive volumes of data in organizational shared drives.
  • Perform broad office duties such as ordering supplies, retrieving and filing SWAC documents and receiving, sorting and distributing incoming correspondence.
  • Assist security personnel with security clearance verification, building access, data transfers, processing visit requests, etc, as required.
  • Travel to CONUS and OCONUS locations at the request of the Government
  • Other duties as required/requested by the Government within the constraints of the S3 contract

Citizenship:  Must be a US Citizen

Minimum Requited Qualifications:

Clearance:  Active Top Secret/SCI clearance, agreeable to polygraph

Education:  Bachelor's degree

Years of Experience:  5 years of experience in an executive administrative support function or similar role supporting Senior Executives in classified environments

 

Other Qualifications:

  • Proven work experience supporting Senior Executives or similar role in classified environment
  • Strong interpersonal and communications skills (via phone, email and in-person) with ability to work collaboratively and effectively in a fast-paced environment
  • Exceptional writing skills and ability to effectively communicate with senior government leaders
  • Proficient with security processes/procedures (e.g., document marking/handling, generating and transmitting classified visit requests) in TS/SCI and SAP environment and capable of opening/closing SWAC Reston office spaces
  • Strong experience with office management procedures, equipment and information management systems such as on-line calendars, Enterprise Task Management System (ETMS2), security clearance visit request information systems, etc.
  • Proficient in Microsoft Office applications (i.e., Word, PowerPoint and Excel)
  • Exceptional professionalism and strong experience exercising discretion and confidentiality with sensitive information
  • Occasional travel 

Preferred Qualifications:

Clearance:  Active TS/SCI clearance with current polygraph

Other Qualifications:

  • Prior experience as an A&AS contractor in a DoD, MDA, or IC organization

Final compensation for this position will be determined by various factors such as the Federal Government contract labor categories and contract wage rates, relevant work experience, specific skills and competencies, geographic location, education, and certifications.
