Administrative Assistant – Executive Management Support

The Westchester Corporation is seeking a highly organized, detail-oriented Administrative Assistant to support our Executive Management Team.

This position plays a key role in helping the organization operate efficiently by coordinating projects, tracking priorities, preparing management materials, organizing documentation, and ensuring information is complete, accurate, and ready for review.

What You'll Do

Administrative & Executive Support

  • Prepare reports, summaries, presentations, and meeting materials for management review
  • Assist with drafting internal and resident communications
  • Coordinate meeting logistics, agendas, and supporting documentation
  • Track action items and follow-up assignments

Project & Workflow Coordination

  • Coordinate the flow of information between departments and management
  • Track projects, deadlines, and deliverables
  • Monitor open items and follow through to completion
  • Support implementation of organizational processes and procedures

Documentation & Records Management

  • Maintain organized digital filing systems and records
  • Review reports, logs, and documentation for accuracy and completeness
  • Standardize documentation and formatting practices
  • Ensure information is organized, current, and easily accessible

Board & Committee Support

  • Assist with preparation and organization of Board and committee materials
  • Coordinate supporting documentation for meetings and projects
  • Maintain organized records of meeting materials and communications

Qualifications

Required

  • High School Diploma or equivalent
  • Minimum of three (3) years of administrative, executive support, or organizational coordination experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Ability to manage multiple priorities and deadlines
  • Professionalism, discretion, and sound judgment when handling sensitive information
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams

  • Associate's or Bachelor's Degree
  • Experience with SharePoint, OneDrive, or other document management systems
  • Experience in residential, hospitality, property management, nonprofit, or professional office environments
