Role Summary
As an Executive Assistant - Project Specialist Senior, you'll serve as a trusted partner to executive leadership by providing strategic, high-level administrative and project support. You'll help drive organizational priorities by managing executive operations, coordinating key initiatives, and ensuring leaders are prepared to focus on business strategy and decision-making. This role offers the opportunity to work closely with senior leadership while making a meaningful impact across the organization.
Key Accountabilities
  • Manage complex executive calendars, travel arrangements, and high-priority meetings across multiple business functions.
  • Coordinate executive communications, including correspondence, presentations, reports, and other leadership materials.
  • Partner with business leaders to develop board presentations, strategic documents, and executive-level deliverables.
  • Oversee confidential projects and time-sensitive initiatives while ensuring alignment across internal stakeholders.
  • Track critical action items, deliverables, and deadlines to ensure executive readiness and timely follow-through.
  • Represent the executive office with professionalism, discretion, and sound judgment when interacting with colleagues, clients, and board members.
  • Support executive and board meetings by coordinating logistics, preparing materials, and ensuring seamless execution.
Education & Experience

Required

  • Bachelor's degree in Business, Communications, or a related field, or an equivalent combination of education and experience.
  • 5+ years of experience providing administrative support to leaders.
  • Strong organizational, communication, and project coordination skills.
  • Ability to manage multiple priorities while maintaining a high level of confidentiality and professionalism.

Preferred

  • 5+ years of experience supporting senior executives or C-level leadership.
  • Experience preparing executive presentations, board materials, and strategic communications.
  • Experience coordinating cross-functional projects and executive initiatives.
  • Proficiency with Microsoft Office Suite and executive support technologies.
