Executive Administrative Assistant

Oklahoma Cancer Specialists and Research Institute is seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide high-level administrative support to executive leadership and physician teams. This position requires an individual who thrives in a fast-paced healthcare environment, exercises sound judgment, anticipates organizational needs, and manages multiple priorities with minimal supervision.

The Executive Administrative Assistant will serve as a key operational support role throughout the organization by coordinating executive workflow, assisting with physician scheduling and time-off management, streamlining administrative processes, and supporting a variety of organizational initiatives and projects.

Essential Duties and Responsibilities

  • Provide comprehensive administrative support to executive leadership and physician teams
  • Coordinate and maintain complex calendars, meetings, appointments, and organizational schedules
  • Manage physician on-call schedules, time-off requests, and related scheduling coordination
  • Prepare meeting agendas, reports, presentations, spreadsheets, and supporting materials
  • Maintain professional communication and contact management with internal and external stakeholders
  • Assist leadership with prioritization of projects, deadlines, and workflow management
  • Participate in organizational projects and operational initiatives across departments
  • Identify opportunities to improve administrative efficiency and help streamline processes through technology and automation
  • Coordinate confidential information and sensitive matters with professionalism and discretion
  • Assist with tracking projects, action items, and follow-up communication to ensure timely completion
