THE POSITION

As an Executive Secretary for the Lackawanna County Housing Authority, you will step into a role that keeps the organization moving forward. This position works directly with the Executive Director, making it a trusted and influential administrative role. You will work independently with broad responsibility for managing executive office operations and improving clerical processes. DESCRIPTION OF WORK

This position supports the Executive Director by managing communication, records, scheduling, and office coordination. The role may supervise a small clerical staff, providing valuable supervisory and management experience while ensuring that daily operations are handled with accuracy and confidentiality. As an Executive Secretary, you will perform the following duties:

  • Administrative Support: Provide executive-level administrative assistance to the Executive Director
  • Scheduling Duties: Manage calendars, arrange meetings, schedule appointments, and coordinate travel
  • Document Preparation: Prepare, proofread, and distribute correspondence, reports, and meeting materials
  • Record Management: Maintain confidential records, filing systems, and executive office documentation
  • Information Organization: Compile and organize information for meetings, presentations, and special projects
  • Liaison Role: Serve as a liaison between the Executive Director, staff, residents, public officials, and community organizations

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with 60-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary:In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Five years of progressively responsible experience in secretarial work. Appropriate formal post high school secretarial training may be substituted for the required experience on a year-for-year basis up to four years; or
  • Any equivalent combination of experience and training.

  • You must be able to perform essential job functions.
