Job Summary
We're looking for a senior-level event professional who can operate at the highest level of trust, discretion, and execution. This role is responsible for orchestrating the executive event experience, owning end-to-end delivery, acting as a trusted partner to senior leaders, and coordinating across internal teams and external partners to ensure every detail reflects AEP's standards and brand.
This role will execute large-scale corporate events, including Board of Directors meetings and executive leadership engagements. They will operate as a strategic project manager, executive liaison, and on-site leader, ensuring seamless execution from initial planning through post event follow-up.
Job Description
What You'll Do:
Executive & Board Experience
  • Work in partnership with the Office of the Corporate Secretary to design and deliver high-touch, concierge-level experiences for Board of Directors meetings.
  • Work closely with the Corporate Special Projects and Events Planner on executive and leadership meetings and programs, as well as other events as they arise.
  • Build and manage detailed meeting timelines and executive briefing materials.
  • Anticipate needs and proactively resolve issues to ensure a seamless experience.

End-to-End Event Ownership
  • Lead planning and execution of Board meetings and support other executive and leadership engagements.
  • Develop and manage comprehensive timelines and work plans.
  • Oversee event logistics, including vendor management, venues, catering, transportation, audiovisual, security, and IT.
  • Lead site selection and advance work with internal and external partners.

Project Management & Cross-Functional Leadership
  • Operate as the central project manager for each quarterly meeting, coordinating across departments.
  • Facilitate kickoff meetings, weekly check-ins, and milestone reviews among internal teams to ensure alignment and accountability.
  • Delegate and coordinate tasks across internal team resources.

On-Site Execution
  • Serve as onsite lead, ensuring flawless execution of all meeting elements, including transitions, timing, and technical production.
  • Maintain composure and control in high-stakes, quick-paced environments.

Qualifications:
  • Bachelor's degree in Event Management, Marketing, Communications, or related field.
  • 8+ years of experience in corporate event planning, with direct experience supporting executive leadership or Board-level events.
  • Proven ability to manage complex, high-visibility events from concept through execution of varying formats and sizes (from 50 to 150+ attendees).
  • Experience operating as a lead planner or single owner for executive events preferred.
  • Willingness to travel and work flexible hours, including evenings and weekends as needed.
  • Exceptional project management and organizational skills.
  • Comfortable working with senior leadership.
  • High level of discretion, judgment, and professionalism.
  • Expertise in vendor management, contracts, and budget oversight.
  • Strong collaboration skills across cross-functional teams.
