Executive Assistant

Magna, Utah

HOURS: 8:00 AM โ€“ 5:00 PM (In Office)

The ideal candidate has supported general business operations through administrative support activities, following discipline-focused policies and processes that enable the business to maximize efficiency. Completes work with a limited degree of supervision. Acts as an informal resource for colleagues with less experience.

Responsibilities:

  • Responsible for the provision of administrative services to the General Manager and executive-level employees and his/her direct management team, ensuring efficient and effective operations and communications

  • Provides administrative support directly to executives, exercising confidentiality, tact, and diplomacy.

Safety:

  • Establish safety as the key priority for all operational strategies, policies, and processes

  • Model and ensure a rigorous safety discipline, based on proactive behaviors and setting clear expectations for all employees and contractors

  • Cost Ensure prudent spending on office supplies and support rigorous cost discipline across the organization.

Role Specific Responsibilities:

  • Provide comprehensive administrative and executive support with a high degree of confidentiality, professionalism, and discretion

  • Manage executive calendars, coordinate meetings, arrange business travel, and process expense reports

  • Receive, screen, and direct calls, visitors, mail, and email correspondence in a timely and professional manner

  • Maintain organized files, records, and documentation, ensuring accuracy and accessibility

  • Coordinate and track end-to-end service requests, dashboards, reports, and special projects for leadership and stakeholders

  • Establish and maintain effective relationships with local and remote teams, proactively identifying and resolving issues

  • Support the planning and execution of company events, tours, and bi-annual Town Halls

  • Prepare meeting materials, take minutes when requested, and distribute follow-up communications

  • Manage office operations, including ordering supplies, processing mail, and maintaining distribution lists and calendar invites

  • Create and track DocuSign requests and coordinate light vehicle reservations for site visits and tours

  • Ensure health and safety priorities are consistently integrated into daily operations

  • Protect and manage leadership schedules, serving as gatekeeper for introductions, requests, and meeting cadence.

Requirements:

  • Previous experience as an Executive Assistant with Executive-level personnel

  • Must wear company uniform daily

  • Must be comfortable working at mining site

  • Familiar with administrative software systems and data handling

  • Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint)

  • Attention to detail and ability to work across multiple stakeholders

  • Creative and critical thinking skills to proactively identify ways to improve work processes, procedures, service, and relationships.
