Description:

 We are seeking a highly organized and proactive Executive Assistant to support our Chief Executive Officer. This role offers a unique opportunity to work closely with senior leadership and contribute to the efficient operation of our organization. The ideal candidate will demonstrate exceptional communication skills, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. 


Key Responsibilities

Executive & Administrative Support

  • Manage the CEO's calendar, schedule meetings, and coordinate appointments to maximize efficiency.
  • Prepare correspondence, reports, presentations, and other executive communications.
  • Act as a liaison between the CEO and internal teams, clients, and external partners.
  • Arrange business travel, accommodations, and related logistics.
  • Prepare meeting agendas, materials, and follow-up items.
  • Monitor and prioritize incoming communications, including emails and phone calls.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Proactively identify opportunities to improve administrative processes, streamline workflows, and support organizational efficiency. 
  • Support special projects and initiatives as assigned.

Office Operations & Event Coordination

  • Greet and assist office visitors while providing support for in-office meetings and company events.
  • Coordinate executive meetings and product tastings, ensuring timely scheduling and follow-through.
  • Create Sales Orders (SOs) and Purchase Orders (POs) in NetSuite as needed.

Financial & Sales Support

  • Review pricing and sales audit reports to ensure pricing accuracy and coordinate corrections as needed.
  • Audit and communicate monthly sales commission reports.
  • Approve vendor bills and assist with supplier and sales chargeback processes.
  • Reconcile monthly corporate credit card expenses and ensure timely receipt collection and approvals.
  • Track and reconcile shipping expenses and other assigned operational costs.
  • Prepare and distribute recurring sales, inventory, and pricing reports.

Requirements:

Skills and Qualifications:

  • Proven experience as an executive assistant or in a similar administrative role supporting senior executives
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools
  • Experience with NetSuite a plus
  • Ability to multitask and work effectively under pressure
  • Discretion and confidentiality in handling sensitive information
  • High level of professionalism and attention to detail
  • Bachelor’s degree or equivalent experience preferred

Requirements

  • Bachelor’s degree in Human Resources or a related field required.
  • 2+ years of experience in a Human Resources Generalist or related HR role.
  • Working knowledge of federal and state HR laws and regulations.
  • Strong problem-solving, organizational, and time management skills.
  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint).
  • Experience with HRIS systems; Paylocity experience preferred.
  • Exceptional interpersonal and relationship-building abilities.
  • Excellent verbal and written communication skills.
  • Detail-oriented and able to manage multiple priorities in a fast-paced environment.
  • Team-oriented with a positive, solutions-driven mindset.
