Position Overview

The Executive Assistant to the Chief Marketing Officer (CMO) provides high-level administrative, organizational, and operational support to the marketing leadership function. This role is responsible for managing schedules, coordinating meetings, preparing documents and presentations, supporting marketing projects, and facilitating effective communication across internal teams and external partners.
The right candidate will demonstrate exceptional organisation, discretion, communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
  • Provide comprehensive executive support to the CMO, including calendar management, meeting coordination, travel arrangements, and expense administration.

  • Manage and prioritize incoming communications, correspondence, requests, and follow-up actions.

  • Prepare agendas, briefing materials, presentations, reports, meeting notes.

  • Maintain accurate records of key decisions, deadlines, deliverables, and action items.

  • Support the CMO in planning and tracking marketing initiatives, campaigns, product launches, events, and strategic projects.

  • Assist with the preparation and monitoring of marketing budgets, purchase orders, invoices, contracts, and supplier documentation.

  • Coordinate communication and information flow between Marketing, Sales, Product Development, Operations, Quality & Compliance, Finance, and senior leadership.

  • Support the preparation of presentations and reporting for leadership strategic planning sessions.

  • Conduct research and compile information to support market analysis

  • Maintain organized and confidential digital & physical files

  • Manage sensitive and confidential information with a high level of discretion and professionalism.

  • Support the coordination of external agencies, creative partners, consultants, suppliers, stakeholders.

  • Help monitor project timelines and identify outstanding actions, risks, or potential delays

  • Assist with event planning, trade shows, brand activities, product launches, or initiatives.

  • Contribute to the improvement of administrative processes, communication workflows, reporting systems, and marketing operations.

Necessary Skills and Qualifications
  • Previous experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Marketing Coordinator, Chief of Staff, PM/PO or in a similar support role.

  • Experience working in marketing, communications, consumer products, regulated products, or a similarly fast-paced environment is an advantage.

  • Excellent verbal and written communication skills in English.

  • Strong organizational skills and exceptional attention to detail.

  • Proven ability to manage complex calendars, competing priorities, deadlines, and confidential information.

  • Strong proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint; experience with Google Workspace is an advantage.

  • Must be comfortable using AI tools, softwares and LLMs (It should be apart of your everyday life).

  • Ability to prepare polished presentations, reports, correspondence, and meeting materials.

  • Strong project coordination and follow-up skills.

  • Professional, dependable, and confident when communicating with internal and external stakeholders.

  • Ability to work independently, exercise sound judgement, and take initiative with minimal supervision.

  • Strong sense of urgency, accountability, and commitment to delivering high-quality work.
