One of the fastest-growing AI firms in the USA is hiring a high-performance Executive Assistant to support the Founder directly. The firm operates at the intersection of AI, enterprise transformation, and global scale execution, working with senior executives across industries.


This is not a traditional assistant role. This is a front-line operator role with exposure to C-suite interactions, strategic initiatives, and high-velocity execution environments.

Role Overview


The Executive Assistant will function as the Founder’s execution partner, responsible for ensuring zero-drop operations, clear communication, and tight coordination across all priorities.

You will manage calendar, communications, outreach, and tracking systems, while maintaining exceptional attention to detail and speed of execution.


Key Responsibilities

  • Manage a complex, high-volume calendar with 100% accuracy.
  • Draft and send executive-level emails and communications.
  • Conduct cold outreach and follow-ups with senior stakeholders.
  • Coordinate 20–30+ meetings per week across executives and partners.
  • Maintain a live execution tracker for all tasks, priorities, and follow-ups.
  • Prepare daily and weekly summaries with clear status updates.
  • Convert ambiguous inputs into structured outputs (documents, trackers, plans).
  • Ensure zero missed deadlines, follow-ups, or commitments.
  • Leverage AI tools (e.g., ChatGPT, Notion, automation tools) to improve speed and quality.

  • 2–6 years of experience in consulting, startups, private equity, or executive support roles.
  • Demonstrated meticulous organization and structured thinking.
