About the Role

We are looking for a highly organized, proactive, and adaptable Executive Assistant to provide high-level support to three executives in a fast-paced, dynamic environment. This is a critical role that requires someone who thrives under pressure, anticipates needs before they arise, and brings calm precision to a demanding workload. You will be the operational backbone for our leadership team — managing schedules, coordinating complex travel, and ensuring our office runs seamlessly.

Key Responsibilities

Executive Support

  • Manage and prioritize calendars for three executives, resolving scheduling conflicts and ensuring leaders are prepared for every meeting
  • Draft, proofread, and send correspondence, reports, and presentations on behalf of executives
  • Screen and triage emails, calls, and meeting requests, escalating only what requires executive attention
  • Prepare briefing materials, agendas, and follow-up action items for internal and external meetings
  • Handle sensitive and confidential information with absolute discretion

Travel Coordination

  • Plan and book all domestic and international travel including flights, hotels, ground transportation, and dining reservations
  • Build detailed itineraries that account for time zones, layovers, visa requirements, and executive preferences
  • Manage last-minute changes and travel disruptions with speed and composure
  • Track travel expenses and submit accurate expense reports in a timely manner

Office Management

  • Oversee day-to-day office operations including supplies, vendor relationships, and facilities coordination
  • Serve as the primary point of contact for building management, IT, and service providers
  • Coordinate office events, team meetings, and executive visits including catering and logistics
  • Maintain organized filing systems (digital and physical) and ensure office processes run efficiently

Qualifications

Required

  • 5+ years of experience as an Executive Assistant, preferably supporting multiple senior leaders simultaneously
  • Exceptional organizational skills with the ability to manage competing priorities without dropping the ball
  • Outstanding written and verbal communication skills
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
  • Experience booking and managing complex domestic and international travel
  • Proven ability to handle confidential information with professionalism and discretion
  • Ability to work independently, anticipate needs, and make sound decisions in real time

Preferred

  • Experience supporting C-suite executives in a high-growth or fast-paced company
  • Familiarity with expense management tools (Concur, Expensify, or similar)
  • Experience with project management tools (Asana, Monday.com, or similar)
  • Associate's or Bachelor's degree in Business Administration or related field
