JOB TITLE: Director of Executive Operations & Governance
LOCATION:

POSITION SUMMARY:
Purple Unicorn is hiring on behalf of the Mandel JCC. The Director of Executive Operations & Governance is a highly trusted, organized, and proactive member of the executive office who supports the CEO, Board Chair, Board of Directors, and senior leadership team in advancing
the work of the Mandel JCC.

This role is a unique combination of executive assistant, governance coordinator, and project manager. The Director is responsible for keeping the CEO's office organized and moving, supporting effective board and committee operations, coordinating key communications and materials, and helping ensure that high-priority initiatives move from discussion to action. The ideal candidate is both strategic and hands-on. This person is comfortable drafting board communications, managing the CEO's calendar, preparing meeting materials, tracking follow-up items, coordinating committees, processing invoices, and navigating sensitive relationships with professionalism and discretion. This position reports directly to the CEO.
KEY DUTIES AND RESPONSIBILITIES:

Executive Office Support

* Provide high-level administrative and operational support to the CEO.
* Manage the CEO's calendar, including scheduling internal and external meetings, prioritizing
requests, confirming logistics, and ensuring the CEO is prepared for each meeting.
* Help manage the CEO's workflow by tracking priorities, deadlines, follow-up items, and key
commitments.
* Draft, edit, and proofread high-level communications on behalf of the CEO and Board Chair for
internal and external audiences.
* Prepare meeting materials, briefing notes, talking points, agendas, presentations, and follow-up
summaries as needed.
* Support the planning and execution of internal meetings, including Senior Team, Management
Team, All-Staff, and other leadership meetings.
* Process invoices, expense reports, reimbursements, and other administrative items related to the
CEO's office.
* Maintain organized files, records, documents, and systems for the executive office.
* Serve as a trusted point of contact between the CEO's office and staff, board members, donors,
community partners, and other stakeholders.
* Manage sensitive and confidential information with the highest level of discretion, professionalism,
and judgment.
Board Governance and Board Relations

* Serve as the primary administrative and operational liaison for the Board of Directors, Executive
Committee, and board committees.
*Coordinate logistics for Board of Directors, Executive Committee, committee, annual meeting,
board retreat, and new board member orientation meetings.
* Manage scheduling, room setup, Zoom/technology needs, attendance tracking, calendar
invitations, catering, materials, and follow-up communication.
* Draft and organize agendas in partnership with the CEO, Board Chair, committee chairs, and
senior leadership team.
* Compile, organize, and distribute board packets, committee materials, presentations, reports, and
other meeting documents.
* Attend board and committee meetings as needed to record minutes, track decisions, identify
follow-up items, and ensure next steps are clearly communicated.
* Maintain official governance records, including board rosters, committee lists, minutes,
resolutions, bylaws, policies, governance documents, board calendars, and related materials.
* Coordinate communication between board members, committee chairs, senior staff, and the
CEO's office.
* Capture feedback from board members following meetings and help identify opportunities to
strengthen future board engagement, materials, and meeting structure.
*Support board onboarding and orientation by coordinating materials, schedules, meeting
logistics, and follow-up.
* Ensure board and committee processes are organized, timely, accurate, and aligned with the
JCC's governance practices.


Agency-Wide Committee Coordination

* Maintain a centralized calendar and tracking system for board committees, agency committees,
working groups, and special task forces.
* Coordinate committee meeting schedules, agendas, materials, minutes, action items, and follow-
up in partnership with staff leads and committee chairs.
* Help ensure committee work is aligned with organizational priorities and that recommendations,
questions, and decisions are elevated to the CEO or senior leadership when appropriate.
* Support consistency across committees by maintaining templates, timelines, records, and
communication standards.
* Track committee participation, leadership assignments, and key deliverables throughout the year.

Strategic Initiatives and Project Management
* In partnership with the CEO and Senior Team, help coordinate cross-departmental projects and
initiatives that advance organizational priorities.
* Serve as project manager for selected CEO-led or agency-wide initiatives, helping define timelines,
deliverables, owners, milestones, and next steps.
* Track progress on key initiatives and ensure appropriate follow-up with staff, board members,
committees, and external partners.
* Help turn ideas and meeting discussions into clear action plans.
* Identify issues, delays, gaps, or opportunities that require the CEO's or senior leadership's
attention.
* Support communication and alignment across departments so that priorities are clear and work
continues moving forward.
* Prepare summaries, updates, dashboards, or progress reports as needed.
POSITION QUALIFICATIONS:

* Bachelor's degree preferred, or equivalent professional experience.
* Minimum of 5 years of experience in executive support, nonprofit administration, board relations,
governance operations, project coordination, or a related field.
* Prior experience supporting a CEO, Executive Director, senior executive, or board of directors strongly
preferred.
* Experience in a nonprofit, JCC, Jewish communal organization, school, camp, community center, or
mission-driven environment preferred.
* Strong writing, editing, proofreading, and communication skills.
* Excellent organizational skills and strong attention to detail.
* Ability to manage multiple priorities, deadlines, meetings, and stakeholders at one time.
* Experience preparing agendas, minutes, board materials, presentations, reports, and professional
correspondence.
* Strong judgment and ability to handle confidential and sensitive information with discretion.
* Comfort working with board members, senior leaders, donors, community partners, and staff at all levels.
* Proficiency with Microsoft Office, Zoom, and shared digital systems. Experience with project management
tools, CRM systems, or board portal software is a plus.
* Must be able to pass a Level 2 background check.
* Must be available for occasional evening and weekend meetings or events.
